The Insurance Administrator is responsible for coordinating and managing vehicle insurance-related activities within the Aftersales department. The role involves handling insurance claims, coordinating with insurance companies, customers, surveyors, and workshop teams, and ensuring claims are processed accurately and efficiently to support timely vehicle repairs and delivery.

Key Responsibilities

The Insurance Administrator is responsible for coordinating and managing vehicle insurance-related activities within the Aftersales department. The role involves handling insurance claims, coordinating with insurance companies, customers, surveyors, and workshop teams, and ensuring claims are processed accurately and efficiently to support timely vehicle repairs and delivery.

  • Receive and process vehicle insurance claims related to accidents, repairs, and other covered damages.
  • Coordinate with customers to collect the required information and documents for insurance claim processing.
  • Liaise with insurance companies, insurance representatives, surveyors, and third-party service providers.
  • Register insurance claims and ensure all required documentation is submitted accurately and on time.
  • Coordinate vehicle inspections and surveyor appointments for accident-damaged vehicles.
  • Follow up with insurance companies regarding claim approvals, repair authorizations, and settlement status.
  • Coordinate with Service Advisors, Workshop, Parts, and Body Shop teams to ensure smooth claim and repair processes.
  • Prepare and maintain insurance claim files, records, approvals, estimates, and supporting documents.
  • Review insurance approvals against repair estimates and ensure discrepancies are clarified before work proceeds.
  • Follow up on pending approvals, additional repair requests, supplementary estimates, and claim settlements.
  • Communicate claim status and repair updates to customers in a professional and timely manner.
  • Assist in preparing repair estimates and submitting them to insurance companies for approval.
  • Ensure insurance-related invoices and supporting documents are accurate and properly submitted.
  • Monitor outstanding insurance claims and coordinate with relevant parties to avoid delays in vehicle delivery.
  • Maintain accurate records of claim status, approvals, payments, and outstanding cases.
  • Coordinate with Finance/Accounts regarding insurance payments, deductibles, and outstanding balances where required.
  • Ensure all insurance processes comply with company policies, insurance requirements, and applicable procedures.
  • Handle customer concerns related to insurance claims and elevate complex issues to the appropriate management.
  • Prepare regular reports on insurance claims, pending approvals, completed claims, and outstanding payments.
