Palex Portugal, a leading company in the management and distribution of innovative hospital and research solutions, is recruiting a Purchase Assistant to support cross‑department procurement and international shipments.

You will analyse needs, request quotations, manage international purchase orders, coordinate imports, liaise with freight forwarders, ensure import documentation, monitor stock, and help keep procedures compliant with healthcare regulations.

Qualificações

• Minimum 12th grade education; higher education in Logistics is a plus.
• At least 3 years in similar roles, preferably in multinational environments.
• Strong knowledge of purchasing and international logistics/transport processes.
• Experience with incoterms, transport coordination, and customs-related procedures.
• Proficiency in English and Spanish for international communication.

Responsabilidades

• Analyse purchasing needs across departments, ensuring accurate specification of products, quantities, and delivery timelines.
• Request quotations and negotiate prices, lead times, and commercial conditions with suppliers in line with policies.
• Manage and coordinate international purchase orders, following through from order to delivery.
• Plan and coordinate transport for imports (road, air, sea) for cost-efficiency and deadlines.
• Liaise with freight forwarders, monitor shipments, and resolve transit issues or delays.
• Ensure proper import documentation (invoices, packing lists, transport documents) and customs compliance.
• Collaborate in supplier selection/evaluation ensuring quality standards.
• Monitor stock levels and trigger replenishment orders to avoid stockouts.
• Work with logistics and warehouse teams for inbound flow and receipt of goods.
• Identify alternative transport or supply solutions during disruptions.
• Ensure all purchasing and import activities comply with local and international healthcare regulations.
• Generate reports on KPIs (delivery performance, supplier reliability, transport costs, service levels).
• Document/update internal procedures to ensure traceability and compliance.

Main Responsibilities:

• Analyse purchasing needs across departments, ensuring accurate specification of products, quantities, and delivery timelines.
• Request quotations and negotiate prices, lead times, and commercial conditions with suppliers, in line with company policies.
• Manage and coordinate international purchase orders, including follow-up with suppliers from order placement to delivery.
• Plan and coordinate transport for imports (road, air, and sea), ensuring cost-efficiency and compliance with deadlines.
• Liaise with freight forwarders and transport providers, monitoring shipments and resolving any transit issues or delays.
• Ensure proper documentation for import processes (e.g., invoices, packing lists, transport documents), guaranteeing compliance with customs and regulatory requirements.
• Collaborate in the selection and evaluation of suppliers, ensuring adherence to quality standards.
• Monitor stock levels of critical materials, triggering replenishment orders proactively to avoid stockouts.
• Work closely with the logistics and warehouse teams to ensure smooth inbound flow and efficient receipt of goods.
• Identify alternative transport or supply solutions in case of disruptions, minimizing operational impact.
• Ensure all purchasing and import activities comply with local and international regulations, particularly within the healthcare sector.
• Generate reports to monitor KPIs such as delivery performance, supplier reliability, transport costs, and service levels.
• Document and update internal procedures to ensure full traceability and compliance across procurement and import processes.

Requirements:

• Minimum 12th grade education (higher education in Logistics, Supply Chain or similar is a plus).
• At least 3 years of experience in similar roles, preferably in multinational environments.
• Strong knowledge of purchasing and international logistics/transport processes (imports).
• Experience with incoterms, transport coordination, and customs-related procedures (preferred).
• Knowledge of SAP (preferably MM module).
• Proficiency in English and Spanish (intermediate level, required for international communication).
• Strong communication skills with suppliers, freight forwarders, and internal stakeholders.
• Good time management and attention to detail.
• Ability to manage multiple priorities in a dynamic environment.
• Commitment to compliance policies and industry regulations.
