You support the smooth daily operations of Atlante’s Portugal offices by handling essential office management activities — mainly in Lisbon, but with light coordination also for the Porto office. You assist the local management team with basic administrative tasks, meeting logistics, document handling, communication flows, vendor coordination, and simple fleet‑related activities. With your practical mindset, organization, and sense of ownership, you help ensure a functional, well‑run, and compliant workplace.

Core Responsibilities:
Office Management & Workplace Operations
- Ensure the proper daily functioning of the Lisbon office, with light coordination also for the Porto workspace.
- Manage relationships with landlords, facility providers, and office service suppliers.
- Oversee procurement of office supplies, equipment, and basic services.
- Handle office-related contracts, renewals, and invoices in coordination with Finance.
- Maintain and update internal office procedures, ensuring an organized and compliant environment.
Back-Office & Administrative Support
- Provide administrative support to the management team, including documentation, meeting logistics, and agenda support when required.
- Manage administrative workflows such as purchase requests, entry orders, goods receipts, and related documentation.
- Ensure accurate physical and digital archiving of contracts and company documents.
- Support data accuracy and alignment in internal systems and tools (e.g., Salesforce or other platforms used locally).
- Offer basic support to fleet management (coordination with suppliers, documentation handling, scheduling maintenance when required).
Communication & Coordination
- Manage incoming office communication channels (mail, certified mailbox, shared inboxes).
- Act as a coordination point between internal stakeholders (local management, central teams, suppliers).
- Support smooth internal communication related to office operations and administrative activities.
Requirements:
- At least 3 years of experience as back-office or in a related field;
- Professional attitude;
- Excellent written and verbal communication skills;
- Excellent organizational skills;
- Multitasking and time-management skills, with the ability to prioritize tasks;
- Able to contribute positively as part of a team, helping out with various tasks as required;
- Proficiency in written and spoken English.
