HEINEKEN Kraków (HEINEKEN Global Shared Services) is seeking a Senior Recruitment & Onboarding Specialist to manage end-to-end recruitment and onboarding, including pre-employment checks, offers, and contracts. This role ensures compliance with global frameworks while addressing local business needs.

You will resolve complex Tier 2 requests, maintain data accuracy, partner with CoE and OpCo, monitor SLAs, and use SAP SuccessFactors and ServiceNow to streamline processes.

Qualifikationen

• Bachelor’s degree in HR, business administration or related field.
• 3+ years of experience handling complex recruitment and onboarding processes.
• Multilingual communication capability – English and Polish.
• Experience with SAP SuccessFactors and ServiceNow.
• Experience in a shared services or multinational environment.

• Handle complex Tier 2 recruitment and onboarding requests.
• Redirect/escalate cases to CoEs or OpCos as needed.
• Monitor SLAs and escalate breaches.
• Ensure privacy, compliance, first-time-right and four-eye checks.
• Create contracts and offers for all role types.
• Track onboarding activities and documentation; maintain recruitment data.
• Use analytics tools to track recruitment metrics and improve processes.
• Collaborate with OpCo/CoE stakeholders and Tier 0 team.

The Senior Recruitment & Onboarding Specialist is responsible for executing transactional and operational activities across the recruitment lifecycle, including pre-employment checks, offer preparation, contract creation, and onboarding. The HBS Recruitment & Onboarding Specialist ensures compliance with global frameworks while addressing local business needs, delivering high-quality recruitment services, and maintaining data accuracy.

Your responsibilities would include:

• resolving complex Tier 2 recruitment and onboarding requests, tickets and cases
• redirecting or escalating cases to CoEs or OpCos when needed
• monitoring SLAs and escalating breaches
• ensuring privacy, compliance, first-time-right and four-eye checks
• managing pre-employment checks and preparing offers
• creating contracts for all role types
• tracking and managing onboarding activities and documentation
• maintaining and updating recruitment data and status
• using analytics tools to track recruitment metrics
• monitoring progress and recommending improvements
• maintaining and updating PF knowledge base, FAQs and documentation
• contributing to HBS Knowledge Management and improvements
• partnering with OpCo and CoE stakeholders
• collaborating with team members and Tier 0
• identifying issues and proposing process improvements
• using SAP SuccessFactors and other tools to reduce manual work.

You are a good candidate if you have:

• bachelor’s degree in human resources, business administration or a related field
• more than 3 years of relevant experience in handling complex recruitment and onboarding processes
• multilingual communication capability - English and Polish
• knowledge of related processes, especially recruitment & onboarding processes, including pre-employment checks, contract creation, and onboarding and enabling technologies (e.g. SAP SuccessFactors, ServiceNow)
• experience managing pre-employment, contracting, or onboarding processes in a shared services model
• strong customer service and problem-solving skills
• excellent communication and interpersonal skills
• high attention to detail and ability to handle sensitive information
• strong focus on operational and customer service excellence
• proficient with MS Office suite or related software and collaboration tools (Teams, Sharepoint)
• experience in shared services or multinational environments.
