Job summary

HEINEKEN Kraków (HEINEKEN Business Services Poland) is seeking a Senior Recruitment & Onboarding Specialist to execute end-to-end recruitment and onboarding activities, ensuring compliance and data accuracy across global frameworks while supporting local business needs.

You will manage complex requests, coordinate with CoE and OpCo, monitor SLAs, create contracts, run pre-employment checks, and use SAP SuccessFactors and ServiceNow to reduce manual work.

Qualifications

• Bachelor’s degree in human resources, business administration or related field.
• 3+ years of experience in handling complex recruitment and onboarding processes.
• Multilingual communication capability - English and Romanian or/and Bulgarian.
• Knowledge of recruitment & onboarding processes, including pre-employment checks, contract creation, and onboarding tech (e.g. SAP SuccessFactors, ServiceNow).
• Experience in shared services or multinational environments.

Responsibilities

• Resolve Tier 2 recruitment and onboarding requests, tickets and cases.
• Redirect or escalate cases to CoEs or OpCos when needed.
• Monitor SLAs and escalate breaches.
• Ensure privacy, compliance, first-time-right and four-eye checks.
• Manage pre-employment checks and prepare offers.
• Create contracts for all role types.
• Track and manage onboarding activities and documentation.
• Maintain and update recruitment data and status.
• Use analytics tools to track recruitment metrics.
• Monitor progress and propose improvements.
• Maintain PF knowledge base, FAQs and documentation.
• Collaborate with OpCo and CoE stakeholders.

The Senior Recruitment & Onboarding Specialistis responsible for executing transactional and operational activities across the recruitment lifecycle, including pre-employment checks, offer preparation, contract creation, and onboarding. The HBS Recruitment & Onboarding Specialist ensures compliance with global frameworks while addressing local business needs, delivering high-quality recruitment services, and maintaining data accuracy.

Your responsibilities would include:

You are a good candidate if you have:

• bachelor’s degree in human resources, business administration or a related field
• more than 3 years of relevant experience in handling complex recruitment and onboarding processes
• multilingual communication capability - English and Romanian or/and Bulgarian
• knowledge of related processes, especially recruitment & onboarding processes, including pre-employment checks, contract creation, and onboarding and enabling technologies (e.g. SAP SuccessFactors, ServiceNow)
• experience managing pre-employment, contracting, or onboarding processes in a shared services model
• strong customer service and problem-solving skills
• excellent communication and interpersonal skills
• high attention to detail and ability to handle sensitive information
• strong focus on operational and customer service excellence
• proficient with MS Office suite or related software and collaboration tools (Teams, Sharepoint)
• experience in shared services or multinational environments.
