Job summary

Responsibilities

• Deliver and support employee lifecycle and workforce administration for Germany, ensuring timely, accurate, compliant delivery within SLAs.
• Contribute during migration/stabilization phases from Germany to Poland, identifying risks and proposing practical solutions.
• Plan knowledge transfer, close gaps, and ensure documentation, access and experience to own processes.
• Process and coordinate complex HR cases, maintain documentation, guide team members, and act as SME.
• Audit HR data/processes, drive root-cause analysis, corrective actions, standardization, and automation.
• Build relationships with German Team Member Services, People Partners, Payroll and stakeholders to support transition activities.

Senior HR Services Administrator with German

The Senior HR Services Administrator with German provides operational expertise and coordination across workforce administration processes for the German market. This role supports transition activities, knowledge sharing, and process documentation, while collaborating closely with colleagues and stakeholders. It also identifies opportunities to standardize ways of working and reduce manual effort through the use of technology.

While primarily supporting Germany, the role also contributes to global workforce administration initiatives and continuous improvement activities across the wider Team Member Services organization.

Where You'll Work

This is a hybrid role and requires you to be on-site at our office at Wielicka 30, Kraków, 3 to 5 times per month. On-site days are predetermined and standardized across the company.

What You'll Do

• Deliver and support assigned employee lifecycle and workforce administration processes for Germany, ensuring accurate, timely, and compliant delivery within agreed Service Level Agreements.
• Act as a key contributor during migration and stabilization phases from Germany to Poland, proactively identifying risks, escalating issues, and recommending practical solutions.
• Plan and facilitate knowledge transfer, close knowledge gaps, and ensure the team has the documentation, access, and experience required to take ownership of processes.
• Process and coordinate complex cases and HR transactions, maintain process documentation, guide team members, and serve as a subject matter expert for assigned processes.
• Audit HR data and processes, identify root causes, and drive corrective actions, standardization, automation, and continuous improvement.
• Build trusted working relationships with German Team Member Services colleagues, People Partners, Payroll, and other key stakeholders to support successful transition activities and long-term collaboration between Germany and Poland.

What You'll Bring

• Fluency in English and German, both at a minimum C1 level.
• Strong experience in HR operations, workforce administration, shared services, or a similar back-office environment, preferably supporting German processes.
• Experience in coordinating process transitions, knowledge transfers, service migrations, or taking on new operational responsibilities is a plus.
• Strong ownership, prioritization, and stakeholder management skills, with the ability to manage dependencies, risks, and multiple workstreams independently.
• Experience in creating process documentation and using case management systems, such as ServiceNow.
• Strong analytical and problem-solving skills, with the ability to identify root causes and implement practical solutions.
• A proactive, customer-focused, and continuous improvement mindset, with the confidence to guide others, escalating blockers, and drive topics to resolution.
