Job description

We are seeking a proactive and highly organized Senior Executive Assistant with a minimum of 3 years of experience supporting C‑suite executives, managing partners, or senior leadership. This individual will be responsible for coordinating executive calendars, handling high‑volume email correspondence, and ensuring productivity through use of modern task‑management tools. The ideal candidate is tech‑savvy, highly detail‑oriented, and comfortable conducting deep research to support the executive’s needs. A background in law or legal support is a strong plus, as is experience with case‑management platforms.

Responsibilities
  • Manage the calendar of a senior executive or managing partner, ensuring effective time blocking, priority management, and meeting preparation.
  • Organize, triage, and draft email correspondence with a high level of discretion and professionalism.
  • Use project management tools such as Trello, Asana or similar platforms to track and manage executive and team tasks.
  • Conduct detailed research to support executive needs including itinerary planning, client preparation, and briefings.
  • Coordinate internal and external meetings, taking notes and following up on action items.
  • Assist in preparation of reports, presentations and executive briefs.
  • Manage confidential and sensitive information with utmost integrity.
  • (Bonus) Support legal case administration through tools like Clio or Smokeball.
Requirements
  • Minimum of 3 years’ experience as an Executive Assistant to senior leadership or C‑suite level.
  • Proven experience managing complex calendars and inboxes independently.
  • Strong knowledge of productivity and project‑management software such as Trello, Asana, ClickUp or similar.
  • Exceptional communication skills (written and verbal) and professional etiquette.
  • Highly organized and detail‑oriented with strong prioritisation abilities.
  • Comfortable working autonomously in a remote environment.
  • Bonus: Prior experience in a legal environment or supporting attorneys.
  • Bonus: Familiarity with legal case‑management software like Clio, Smokeball, MyCase etc.
