Your role

As an HR Benefits Specialist, you will focus on administering and supporting employee benefit programs with accuracy, consistency, and care. You will partner closely with employees, HR colleagues, and external vendors to ensure benefit programs are delivered as designed, questions are resolved clearly, and processes remain compliant and well documented. Success in this role is measured by timely benefit transactions, clear guidance to employees, and reliable execution of benefit processes across the employee lifecycle.

What you will do
  • Administer end-to-end employee benefit programs across all Polish entities, managing enrollments, life events, and eligibility changes primarily within Workday.
  • Monitor and resolve Tier 2 employee benefit inquiries and service requests through ServiceNow, providing clear, accurate, and compliant guidance within agreed service levels.
  • Act as the primary operational liaison for external benefit vendors, overseeing service delivery quality, resolving exceptions, and coordinating invoice workflows with Procurement and Finance.
  • Collaborate closely with internal HR Services teams—including Onboarding, Offboarding, and HR Operations—and partner with Payroll to ensure seamless data exchanges and accurate payroll deductions.
  • Support key HR technology initiatives, performing user testing, input validation, and data verification for the Workday Benefits module rollout and global payroll integration.
  • Coordinate annual open enrollment cycles, including employee communications, platform readiness, and post-enrollment issue resolution.
  • Maintain standard operating procedures, documentation, and employee self-service knowledge articles to reflect current Polish benefits policies and statutory compliance requirements.
Required skills and experience
  • 1 to 3 years of hands-on experience in benefits administration, total rewards, human resources, or payroll operations.
  • Practical experience administering employee benefit programs and maintaining employee records in core HR information systems, particularly Workday.
  • Experience managing employee requests, ticket queues, and case escalations using ServiceNow or similar case management tools.
  • Working knowledge of Polish labor regulations, statutory benefit requirements, and local market benefit offerings.
  • Native or bilingual proficiency in Polish (written and spoken) to advise local employees and handle Polish documentation.
  • Professional working proficiency in English (written and spoken) for daily collaboration across regional HR teams, international management, and external partners.
  • Strong organizational skills and attention to detail, with a proven track record of maintaining data integrity and handling confidential employee information.
Preferred skills and experience
  • Previous experience working within a shared services center (SSC) or multinational enterprise environment.
  • Practical understanding of payroll processes and benefit-related payroll deductions.
  • Experience supporting HR system implementations, user acceptance testing (UAT), or vendor transitions.
  • Prior experience interacting directly with external benefit providers, tracking service levels, or coordinating vendor invoices.
  • Working knowledge of an additional European language.
What we can offer in return:
  • Hybrid model of working from Wrocław, Poland
  • Opportunity to work in an international environment
  • Private medical care at Medicover (with possible extension to family members)
