We are looking for an operations assistant to manage schedules and students for our transportation school: Trukademy Ontario and Trukademy Alberta. Candidates must be responsible, proactive, good at Excel, data analysis, coordination, etc.
Qualifications
- Prior experience in managing school schedules, students, and instructors.
- Comfortable with night shift.
- Must have the latest laptop with high-speed Wi-Fi.
Job responsibilities
Scheduling & Coordination
- Develop and manage daily, weekly, and monthly schedules for driving instructors, vehicles, and students.
- Allocate instructors based on skill level, student needs, and requirements.
- Coordinate availability of training vehicles, ensuring proper maintenance and readiness.
- Reschedule or adjust bookings in case of cancellations, instructor absences, or vehicle issues.
- Reduce the number of No‑Shows.
- Communicate schedule confirmations, changes, and updates to students promptly.
- Address student inquiries and concerns related to lesson timings, instructor assignments, or vehicle availability.
- Ensure efficient lesson flow to maximize student satisfaction and minimize downtime.
Instructor & Resource Management
- Maintain accurate records of instructor availability, certifications, and work hours.
- Monitor instructor workload to ensure fair distribution and prevent scheduling conflicts.
- Coordinate with the operations team/management regarding instructor leave requests and replacements.
- Ensure schedules align with regulatory requirements for driving instruction hours.
- Maintain compliance with licensing authority standards for student‑to‑instructor ratios.
- Keep detailed records for audits and internal quality checks.
- Identify bottlenecks or recurring scheduling issues and recommend process improvements.
- Collaborate with management to forecast instructor and vehicle needs based on enrollment trends.
- Provide feedback to the operations team/management/instructors for service quality enhancement.
