Luminator Technology Group seeks a Sales Backoffice Specialist to be the contact for customers and the sales team on order matters. The role involves coordinating with the Gdansk operations team, handling inquiries, and ensuring timely documentation.

You will process orders in Infor LN, quote creation, and invoicing while maintaining accurate customer data in an international environment. Applications require English and German proficiency.

Qualifications

• Bachelor’s degree in business administration or related field.
• Strong customer focus and commitment to service excellence.
• Experience in sales administration or a similar role.
• Experience working in an international environment.
• Proficiency in Microsoft Office and knowledge of Incoterms 2020.
• Hands-on ERP experience; CRM experience is an advantage.
• Fluent in English and German; Polish is an advantage.

Responsibilities

• Coordinate with the Operation Team in Gdansk to confirm delivery dates and resolve order issues.
• Communicate with customers on all order-related matters.
• Provide documents and data promptly in customer cases.
• Manage incoming customer inquiries – distribute and resolve when possible.
• Inform customers of changes in delivery.
• Process orders in customer portals.
• Enter orders into the ERP Infor LN; create and dispatch order confirmations.
• Track order progress and maintain customer master data in Infor LN.
• Prepare quotes from sales reps or price lists.
• Create invoices and credit notes.

We are seeking a Sales Backoffice Specialist who will be the contact person for customers and sales team in all matters concerning orders with a given customers of Luminator Technology Group.

What you will do:

• Coordination with the Operation Team in Gdansk to confirm delivery dates to the customers and solve any issues related with sales orders,
• Information/conversation with customers in all order related matters,
• Timely provision of any documents and data in customer related cases,
• Manage incoming customer inquiries – distribute and resolve when possible,
• Informing customers of any change in delivery,
• Processing of orders in customer portals,
• Entry of orders into the ERP program Infor LN; creation and dispatch of order confirmations,
• Tracking of the order progress,
• Customer master data maintenance in Infor LN,
• Preparation of quotes with information provided by sales representative or based on customer price list,
• Creation of invoices and credit notes.

What we are looking for:

• Bachelor’s degree in business administration or a related field preferred,
• Strong customer focus and commitment to service excellence,
• Experience in sales administration, customer service, or a similar role,
• Experience working in an international environment,
• Proficiency in Microsoft Office and knowledge of Incoterms 2020,
• Hands‑on experience with ERP systems is required; CRM experience is an advantage,
• Assertive and able to perform effectively under pressure,
• Independent, reliable, and results‑oriented approach to work,
• Fluency in English and German; Polish is an advantage.
