Job summary

CBRE Group, Inc. is seeking a Portfolio Services Data Coordinator in Warsaw to ensure data accuracy across a global client portfolio and collaborate with external clients and internal teams.

The role focuses on lease data management, invoicing controls, and vendor onboarding within an international real estate services environment. You will support monthly reporting, indexations, and critical dates reviews while working in a hybrid setup with occasional on-site presence at the client’s office in

Qualifications

  • Fluent in spoken and written English; additional languages are a plus (German, French and Spanish).
  • Excellent communication and stakeholder management skills.
  • Strong analytical and problem solving skills, can-do approach.
  • Very good knowledge of MS Office tools (Excel, Word, PowerPoint).

Responsibilities

  • Maintain lease data accuracy across the Client's EMEA real estate portfolio.
  • Coordinate lease abstraction: submit documents, handle queries, quality checks.
  • Set up new locations and leases in the system; maintain document archives.
  • Validate and process landlord invoices; verify charges against lease clauses; resolve payment queries.
  • Handle country-specific invoicing requirements across EMEA, including e-invoicing.
  • Process rent indexations, financial updates, and service charge/utility reconciliations.
  • Onboard new vendors into the payment platform and support sublease billing.
  • Prepare and deliver monthly portfolio reports; track TIAs and ARO reporting.
  • Participate in Critical Dates calls and cross-functional meetings across EMEA.

Portfolio Services Data Coordinator

As a CBRE BSO Portfolio Services Data Coordinator, you will be accountable for ensuring data consistency and accuracy across dedicated Client real estate portfolio. In the role, you will be working closely with external Client and internal service delivery teams to make sure that database standards and processes are followed and to high quality at all times.

This job is within the Portfolio Services dedicated Client team, highly client-facing for a global, well-known brand. In the role, you will need a holistic understanding of the Client’s portfolio (data management and rent management).

What You’ll Do:
Lease Data & Abstraction
  • Maintain lease data accuracy and completeness across the Client's EMEA real estate portfolio.
  • Coordinate lease abstraction: submit documents, handle queries, and perform quality checks on abstracted data.
  • Set up new locations and leases in the system; maintain document archives following naming conventions.
Accounts Payable & Financial Processing
  • Validate and process landlord invoices — verify charges against lease clauses, prepare batch approvals, and resolve payment queries.
  • Handle country-specific invoicing requirements across EMEA, including e-invoicing through government portals.
  • Process rent indexations, financial updates, and service charge / utilities reconciliations.
Vendor & Sublease Administration
  • Onboard new vendors into the payment platform — prepare setup templates, coordinate invitations and payee interviews.
  • Support sublease billing and receivables in coordination with finance and tax stakeholders.
Reporting & Stakeholder Collaboration
  • Prepare and deliver monthly portfolio reports: database summaries, Critical Dates & Expiry reports, and ad-hoc analyses.
  • Track Tenant Improvement Allowances (TIA) and support Asset Retirement Obligation (ARO) reporting.
  • Participate in Critical Dates calls to review lease options, renewals, and terminations.
  • Participate in recurring client and internal meetings and collaborate with cross-functional teams across EMEA.
What You’ll Need:
  • Fluent in spoken and written English; additional EMEA languages are a plus (German, French and Spanish).
  • Role is based in Warsaw, including 1-2 days weekly working from the Client’s office in the city centre.
  • Professional experience in lease administration is a must (preferred candidates originate from Database Management or Rent Management operations with excellent quality results).
  • Strong attention to details with very good organizational skills.
  • Excellent communication and stakeholder management skills.
  • Pro-activity and flexibility.
  • Strong analytical and problem solving skills, can-do approach.
  • Interest and experience in data monitoring dashboards, openness to automations and tools including development and testing.
  • Reliable, committed, team player, and fast learner.
  • Very good knowledge of MS Office tools (Excel, Word, PowerPoint)
  • Able to work under time pressure to meet deadlines while managing conflicting priorities.
