Job summary

ARBEX is seeking a Procurement Operation Specialist to support purchase requisitions and orders, ensuring compliant and timely processing. You will resolve issues, drive improvements, and act as the first point of contact for transactional purchasing inquiries, in a hybrid Kraków office setting.

The role emphasizes supplier and internal stakeholder collaboration, process optimization using AI and automation, and hands-on use of SAP3, ServiceNow, and Coupa.

Qualifications

• University degree required.
• Spanish language proficiency at B2 level or above.
• English language proficiency at B2 level or above.
• Business process optimization utilizing AI and workplace automation.
• Working knowledge of SAP3, ServiceNow, Coupa tools.
• Data analysis and reporting.
• Strong written and verbal communication skills.

Responsibilities

• Building strong relationships with internal customers and identifying opportunities to improve processes and efficiencies.
• Reviewing, validating, and converting PRs into POs in line with compliance requirements and service levels.
• Monitoring and following up on purchase requests that cannot be processed, ensuring clear communication and documentation.
• Leading regular stakeholder meetings and preparing operational reports related to PO confirmations and delivery performance.
• Supporting the resolution of PO approval issues, goods receipt discrepancies, and invoice-related queries.
• Acting as the first point of contact for transactional purchasing-related enquiries.
• Participating in process improvement initiatives and testing of new tools and technologies.

About You

In one of Procurement Operation Specialist, you will support the efficient execution of purchasing and transactional processes while delivering outstanding service to internal stakeholders. You will play a key role in ensuring purchase requisitions and purchase orders are processed accurately and on time, resolving operational issues, and driving continuous improvement initiatives.

Key responsibilities include:

• Building strong relationships with internal customers and identifying opportunities to improve processes and efficiencies

• Reviewing, validating, and converting Purchase Requisitions (PRs) into Purchase Orders (POs) in line with compliance requirements and service level expectations

• Monitoring and following up on purchase requests that cannot be processed, ensuring clear communication and documentation

• Leading regular stakeholder meetings and preparing operational reports related to PO confirmations and delivery performance

• Supporting the resolution of PO approval issues, goods receipt discrepancies, and invoice-related queries

• Acting as the first point of contact for transactional purchasing-related enquiries

• Participating in process improvement initiatives and testing of new tools and technologies

To succeed in this role you will need the following qualifications

• University degree

• Spanish language proficiency at B2 level or above

• English language proficiency at B2 level or above

• Business process optimization utilizing AI and workplace automation

• Working knowledge of ERP SAP3, ServiceNow, Coupa tools

• Data analysis and reporting

• Strong logical reasoning and analytical skills applied to order creation, ensuring data accuracy

• Strong written and verbal communication skills
