Job summary

Fresenius Medical Care is seeking an experienced Payroll Specialist to manage end-to-end payroll for Poland. You will ensure accuracy, timely submissions, and full compliance with local regulations, collaborating with HR and Finance to deliver reliable payroll operations.

The role requires deep knowledge of Polish payroll and tax rules, experience with Płatnik and Workday, and the ability to work independently in a hybrid environment.

Qualifications

• Minimum 3 years of hands-on experience in end-to-end payroll processing for Poland.
• Strong practical knowledge of Polish payroll regulations, labor law, social security, and taxes.
• Experience with independent payroll calculations and statutory reporting.
• Experience with various employment contracts; good payroll accounting and reconciliation.
• Proficiency with Płatnik and payroll/HR systems; English communication at B1+ level.

Responsibilities

• Manage end-to-end payroll processing for employees in Poland with accuracy and timeliness.
• Independently calculate monthly payroll including salaries, bonuses, overtime, and absences.
• Prepare and submit payroll declarations and statutory reports to ZUS, Tax Office, GUS, and others.
• Ensure correct personal income tax, social security, and benefits calculations.
• Maintain payroll records and data accuracy in HR/payroll systems.
• Process payroll changes for hires, terminations, and organizational updates.
• Serve as main contact for payroll-related matters for employees and managers.
• Monitor changes in Polish labor law, tax rules, and social security requirements.
• Support audits with payroll documentation and explanations.
• Identify and implement payroll process improvements and best practices.
• Collaborate with HR, Finance, and other stakeholders for smooth operations.

Key Responsibilities:

• Manage end-to-end payroll processing for employees in Poland, ensuring accuracy, timeliness, and full compliance with local regulations.
• Independently calculate monthly payroll, including salaries, bonuses, overtime, sick leave, parental leave, and other employee absences.
• Prepare and submit payroll-related declarations and statutory reports to relevant authorities (ZUS, Tax Office, GUS, PFRON, where applicable).
• Ensure accurate calculation of personal income tax, social security contributions, and employee benefits in line with Polish legislation.
• Maintain employee payroll records and ensure data accuracy within HR and payroll systems.
• Process payroll changes related to hires, terminations, compensation changes, leaves, and organizational updates.
• Serve as the main point of contact for employees and managers regarding payroll-related matters.
• Monitor changes in Polish labor law, tax regulations, and social security requirements, ensuring payroll processes remain compliant.
• Support internal and external audits by preparing payroll documentation and providing necessary explanations.
• Identify opportunities for payroll process improvements and support implementation of best practices.
• Collaborate closely with HR, Finance, and other internal stakeholders to ensure smooth payroll operations.

Requirements:

• Minimum 3 years of hands-on experience in end-to-end payroll processing for Poland.
• Strong practical knowledge of Polish payroll regulations, labor law, social security (ZUS), personal income tax, and employee benefits administration.
• Experience with independent payroll calculations and statutory reporting.
• Experience in processing payroll for various types of employment contracts will be an asset.
• Good understanding of payroll accounting principles and payroll reconciliation processes.
• Experience working with Płatnik and payroll/HR systems; knowledge of Workday would be an advantage as
• Intermediate Excel skills and good overall computer literacy.
• Good command of English, enabling communication within an international organization (minimum B1 level)
• Exceptional attention to detail and accuracy.
• Strong organizational skills with the ability to manage payroll deadlines effectively.
• Ability to work independently, take ownership of payroll processes, and solve problems proactively.
• Strong communication and stakeholder management skills.
