Job summary

Admind Branding & Communications is hiring an experienced Operations Manager to lead capacity planning, data-driven decision making, and the rollout of an automation roadmap across the agency. You will oversee a small team, optimize utilisation and EBITDA impact, and partner with leadership to standardise processes.

The role offers a hybrid model in Poland (Kraków/Warsaw) with some remote work, and a focus on data governance, tools deployment, and cross-functional collaboration in a global

Qualifications

• 8+ years of experience in operations management within a creative or services agency.
• Proven track record owning resource utilization, capacity planning and EBITDA-impacting decisions.
• Experience leading cross-functional operational teams.
• Ability to build data intelligence models and reporting frameworks.

Responsibilities

• Set and enforce operational standards across the agency (utilisation, billability, capacity, data governance).
• Own the weekly resource allocation meeting with full decision authority.
• Build and maintain capacity planning and data intelligence model (Scoro-driven).
• Deploy operational tools and solutions into Client Service and Delivery workflows.
• Report operational performance and data insights to the CEO monthly.
• Drive the AI/automation roadmap in partnership with the Systems & Automation Specialist.
• Challenge inefficient staffing and scoping decisions with data to ensure EBITDA contribution.
• Manage and develop a team of 3-4 FTEs within the Operations function.
• Establish the agency's single source of truth for utilisation, margin, and capacity data.
• Lead the Implementation Roadmap across three phases: Foundation, Standardisation + Early Automation, Acceleration.
