Job summary

Getinge Kraków is seeking an Order Processing Coordinator to join our diverse team. You will verify, process, and bill customer sales and service orders, handle inquiries, generate offers, and coordinate with internal departments to ensure timely delivery.

You should be a team player with strong English skills (B1+), be detail-oriented and adaptable in a multicultural environment; SAP knowledge is a plus. This role is based in Kraków, Poland.

Qualifications

• English communication at least B1; B2 is a plus.

Responsibilities

• Accepting, verifying, processing, confirming, updating and billing customer sales and service orders.
• Answering incoming calls and emails professionally regarding orders.
• Generating offers based on technical product and service specifications.
• Creating third-party purchase requisitions for specific orders.
• Serving as contact for customers on inquiries (prices, lead times, availability, ship dates).
• Preparing service confirmations and seeking customer approvals.
• Overseeing invoicing processes and collaborating with internal departments.
• Providing backup coverage within the department and supporting process improvements.

Your Responsibilities

• Accepting, verifying, processing, confirming, updating and billing customer Sales and Service Orders
• Picking-up incoming teams-calls related to own orders and answering emails in a professional manner
• Generating offers basing on technical product and service specifications
• Creating 3rd party purchase requisitions for specific customer/technician orders
• Acting as contact for customers on incoming inquiries e.g. price requests, lead times, product availability, ship dates, tracing orders and invoicing issues
• Preparing Service Confirmations and seeking Customer’s approval
• Overlooking the Invoicing process
• Cooperating with internal departments and the business
• Providing backup coverage & assistance within the department
• Performing other related duties as required or assigned
• Following internal controls requirements and complies with company’s policies and procedures
• Participating in processes improvement initiatives

Our Requirements

• Communicative English skills (minimum level B1) are required, with a B2 level being a strong asset

• Basic knowledge of SAP will be an asset but is not required
