Job summary

Ntiative is seeking a part-time HR Business Partner in Kraków, Poland. The role is hybrid, offering close collaboration with business owners and a small team to manage HR matters, payroll coordination, and compliance for international clients under an EOR model.

You will serve as the main contact for employees and client contacts, handling onboarding, changes, offboarding, and sensitive situations with professionalism in English and Polish.

Qualifications

• Knowledge of Polish labour law and HR administration.
• Fluent written and spoken English and Polish.
• Understanding of Polish payroll (ZUS, PIT, gross-to-net) and leave.
• Clear, confident communicator with strong email-writing skills.
• Organised, reliable and able to work independently in SME/agency/start-up environment.
• Experience in EOR, outsourcing, staffing or client-facing HR is advantageous.

Responsibilities

• Be the main point of contact for employees and client contacts.
• Support the employment lifecycle from onboarding to contract changes and offboarding.
• Respond to queries about leave, sickness, benefits and other HR matters.
• Coordinate with payroll on monthly inputs, new starters, leavers and changes.
• Prepare and manage documentation in line with Polish labour law.
• Maintain accurate employee records.
• Hybrid role based in Kraków with direct access to business owners.

About the company

The organisation provides employer-of-record services, enabling international companies to employ people in Poland without setting up a local legal entity. It manages employment contracts, payroll coordination, compliance and day-to-day HR, allowing clients to focus on their operations. Its work combines practical local employment expertise with support for international clients and their employees. The team is small, offering the opportunity to contribute directly and take ownership of a broad range of HR matters.

What the job entails

As a part-time HR Business Partner, you will be the main point of contact for employees and client contacts, supporting the employment lifecycle from onboarding through to contract changes and offboarding. You will respond to employee queries about leave, sickness, benefits and other HR matters, handling sensitive situations calmly and professionally in person and by email. You will work with clients on hiring, onboarding, employment terms and employee matters, prepare and manage documentation in line with Polish labour law, and maintain accurate employee records. You will also coordinate with the payroll team on monthly inputs, new starters, leavers and changes, drawing on a working knowledge of Polish payroll processes. The role is hybrid, based in Kraków, and offers direct contact with business owners and responsibility within a small team.
