Job summary

Admind Branding & Communications seeks an experienced Head of Operations to standardise and optimise utilisation, capacity, and data governance across Kraków, Warsaw, and remote teams. You will own capacity planning, drive automation initiatives, and lead a small operations team, partnering with the CEO to deliver EBITDA growth.

You will implement data intelligence models, deploy tools across Client Service and Delivery, and report monthly on performance and insights.

Qualifications

• 8+ years of operations management experience in creative/marketing/services
• Proven track record of owning utilisa­tion, capacity planning and EBITDA-impacting decisions
• Experience leading cross-functional operational teams
• Ability to build data intelligence models and reporting frameworks
• Fluent in project management and resource planning tools (Scoro, HubSpot, or equivalent)
• Fluent in English and AI/automation literacy

Responsibilities

• Set and enforce operational standards across the agency – utilisation, billability, capacity, and data governance
• Own the weekly resource allocation meeting with full decision authority
• Build and maintain capacity planning and data intelligence model (Scoro-driven)
• Deploy operational tools into Client Service and Delivery workflows
• Report operational performance and data insights to the CEO monthly
• Drive the AI/automation roadmap with Systems & Automation Specialist
• Challenge staffing decisions with data to protect EBITDA
• Manage and develop a team of 3–4 FTEs in Operations
• Establish the agency's single source of truth for utilisation, margin, and capacity data
• Lead the Implementation Roadmap: Foundation, Standardisation + Early Automation, Acceleration
