Job summary

Self Bill Pro is seeking a Director of Operations to oversee Implementations, Client Services, and Data Operations, ensuring efficiency, scalability, and alignment with company goals. You will translate strategy into actionable plans and lead managers across functions, rather than hands-on work.

Reporting to the COO, you will drive KPIs, standardize processes, manage HIPAA/data handling, and collaborate with Sales, Product, and Engineering to deliver high-quality service and scalable delivery.

Qualifications

• 15+ years of experience in operations, business management, or a related field with meaningful experience in benefits administration, EDI/API implementation, or billing and data operations.
• 8+ years of experience leading teams and/or managing managers across multiple functional areas.
• Strong ability to analyze processes, identify inefficiencies, and implement scalable solutions.
• Experience working cross-functionally in a fast-paced, high-growth environment.
• Excellent communication and stakeholder management skills.
• Proven ability to manage multiple priorities and drive execution across teams.
• Strong problem-solving and decision-making capabilities.
• Proficiency in operational tools and systems (e.g., Notion or similar project management platforms, reporting and business intelligence tools).

Responsibilities

• Oversee daily operations across core functional areas: Implementation, Client Services, and Data Operations.
• Provide leadership, coaching, and direction to the managers.
• Drive process standardization and optimization across teams to improve efficiency, accuracy, and scalability.
• Establish, track, and analyze KPIs to measure performance across all three functions.
• Ensure operational compliance with HIPAA and data handling requirements.
• Provide strategic direction over Implementation with focus on EDI standards, API integrations, and benefit administration platforms.
• Partner with the Manager of Implementation to set priorities for process design, automation, and tooling.
• Ensure quality standards and escalation processes for complex integration challenges.
• Provide strategic direction over Data Operations for accuracy and auditability across plan premium audits and billing data analysis.
• Partner with the Manager of Data Operations to set standards for data quality, automation, and tooling.
• Guide the team's approach to identifying trends, discrepancies in billing data, and training for juniors.
• Partner with Manager of Client Services to ensure a high-quality client experience and escalation management.
• Align operations with Sales, Product, and Engineering on priorities and timelines.
• Collaborate with Product to integrate new features into workflows and scalable delivery.
• Drive continuous improvement and foster accountability and performance.
