Job summary

Instant Impact is seeking a Finance Administrator (Billing) in Cracow to join the global finance team. You will prepare invoices for a portfolio of clients and maintain accurate billing records, while gaining hands-on experience with Oracle.

Reporting to the Billing Manager, you will support annual and bi-annual billing cycles, chase outstanding receivables and help train assistants and interns as needed. Fluency in English and strong Excel skills are essential.

Qualifications

• Recent administrative and/or accounting experience within a financial services environment.
• Experience with Oracle, Viewpoint, SSRS or e-billing portals is beneficial, but not essential.
• Strong written and verbal English communication skills at a business-proficient level.
• Strong knowledge of Excel, Word and Outlook.
• Strong written and verbal communication skills.
• Good analytical and problem-solving ability.
• Ability to multitask and manage time effectively, especially when working to deadlines.

Responsibilities

• Preparing invoices for a designated portfolio of clients and ensuring they are issued accurately and on time
• Maintaining correct and up-to-date billing information
• Assisting with annual and bi-annual billing cycles
• Preparing consolidated statements for larger clients
• Liaising internally to resolve billing-related queries
• Managing the finance mailbox to ensure requests are actioned promptly
• Running exception reports to ensure accuracy of billing data
• Supporting and helping train assistants and interns
• Investigating unreconciled items and escalating issues when neededAssisting with ad hoc financial tasks as required
• Helping to chase outstanding receivables
