Job summary

Instant Impact is seeking a Finance Administrator (Billing) to join a global finance team in Kraków. You will prepare invoices, maintain accurate billing data, and support annual and bi-annual cycles, reporting to the Billing Manager.

Training on Oracle will be provided, ideal for someone building a foundation in finance operations within a global organisation. The role emphasizes accuracy, attention to deadlines, and collaboration across internal teams, with opportunities to train assistants

Qualifications

• Recent administrative and/or accounting experience within a financial services environment.
• Experience with Oracle, Viewpoint, SSRS or e-billing portals is beneficial.
• Strong written and verbal English communication at a business-proficient level.
• Strong knowledge of Excel, Word and Outlook.
• Good analytical and problem-solving ability.
• Ability to multitask and manage time effectively, especially with deadlines.

Responsibilities

• Preparing invoices for a designated portfolio of clients and ensuring they are issued accurately and on time
• Maintaining correct and up‑to‑date billing information
• Assisting with annual and bi‑annual billing cycles
• Preparing consolidated statements for larger clients
• Liaising internally to resolve billing‑related queries
• Managing the finance mailbox to ensure requests are actioned promptly
• Running exception reports to ensure accuracy of billing data
• Supporting and helping train assistants and interns
• Investigating unreconciled items and escalating issues when needed
• Assisting with ad hoc financial tasks as required
• Helping to chase outstanding receivables
