Job summary

Schneider Electric in Warsaw is seeking a Fleet Administrator for Fuel Cards, Toll Badges and EV Charging Cards. You will join the Fleet Management team to ensure efficient administration and lifecycle management across multiple countries.

The role covers creation, ordering, configuration, distribution, and maintenance of fleet cards, working with internal stakeholders, suppliers, and service providers to ensure service continuity, data accuracy, and strong user support.

Qualifications

  • Advanced French and English language skills (written and spoken).
  • Experience in administration, fleet management, customer service, shared services, or a similar operational support role.
  • Strong attention to detail and ability to maintain accurate records and databases.
  • Excellent organizational skills with the ability to prioritize activities and manage multiple tasks simultaneously.
  • Customer-oriented mindset with a strong focus on service quality.
  • Proficiency in Microsoft Office applications, particularly Excel.
  • Experience working with fleet management systems or other administrative tools is an advantage.

Responsibilities

  • Manage the end-to-end administration of fuel cards, toll badges, and EV charging cards.
  • Process requests for new cards and badges, ensuring proper validation and authorization before issuance.
  • Coordinate with suppliers and service providers to order, activate, renew, replace, or terminate fleet-related services.
  • Maintain accurate records and databases, ensuring data quality and traceability of all operations.
  • Monitor the lifecycle of cards and badges, ensuring compliance with internal fleet policies and procedures.
  • Handle user requests related to lost, stolen, damaged, or malfunctioning cards and badges.
  • Organize the recovery and deactivation of cards and badges when vehicles are returned or employees leave the organization.
  • Perform regular controls and audits to identify non-compliant usage, anomalies, or potential risks.
  • Support internal and external audit activities by preparing required documentation and reports.
  • Monitor service performance and contribute to issue resolution and continuous process improvement.
  • Generate, maintain, and analyze reports related to fleet services and key performance indicators.
  • Act as the first point of contact for internal users, providing guidance and support regarding fleet-related services.
  • Build and maintain strong relationships with suppliers and stakeholders.
  • Support fleet-related projects, process improvements, and system enhancements within your area of responsibility.
  • Provide backup support for other Fleet Team activities when required.

Your IMPACT:

As a Fleet Administrator for Fuel Cards, Toll Badges and EV Charging Cards, you will join our Fleet Management team and play a key role in ensuring the efficient administration and lifecycle management of fleet-related services across multiple countries.

In this position, you will be responsible for managing the creation, ordering, configuration, distribution, and maintenance of fuel cards, toll badges, and electric vehicle charging cards. You will work closely with internal stakeholders, suppliers, and service providers to ensure service continuity, data accuracy, compliance with company policies, and a high level of user support.

Your contribution will help optimize fleet operations, improve user experience, and ensure effective control of fleet-related services across the organization.

Your Responsibilities:
