Job summary

Solarpro Technology is seeking a detail-oriented documents and project controls professional in Poland to manage MDR, track document statuses, and coordinate among civil, electrical, HV, BESS, SCADA/EMS, and grid teams. You will organize meetings, prepare MoMs, and maintain RFI/NCR/TQ registers while ensuring timely delivery according to the project schedule.

The role requires a bachelor’s degree and 2+ years of experience, native Polish, fluent English, and strong MS Office skills.

Qualifications

• Bachelor’s degree in Business Administration, Engineering, Project Management or a related discipline.
• Minimum 2 years of relevant experience.
• Native Polish language – mandatory.
• Fluent English.
• Advanced Microsoft Office skills.
• Valid driving licence.
• Highly organized and proactive.

Responsibilities

• Maintain the project documentation register and Master Document Register (MDR).
• Monitor document statuses: planned, in preparation, under review, submitted, commented, approved, AFC/IFC and as-built.
• Distribute documents and comments to responsible parties.
• Monitor response deadlines for designers, suppliers, Client and subcontractors.
• Maintain the Comment Register and ensure closure of all comments.
• Coordinate engineering disciplines (civil, electrical, HV, BESS, SCADA/EMS, telecontrol, protection, grid compliance).
• Organise engineering meetings and prepare meeting agendas; take Minutes of Meeting and action lists.
• Monitor implementation and closure of meeting actions; update tasks and progress.
• Maintain Registers for RFI, TQ, NCR, design changes and technical decisions.
• Verify documentation completeness for procurement and construction.
• Ensure engineering documentation is issued according to project schedule.
• Coordinate vendor documentation for transformers, switchgear, BESS, PCS, MV stations, SCADA and protection systems.
• Monitor review and approval of datasheets, drawings, FAT procedures and test plans.
• Support Project Manager in updating engineering and procurement schedules; flag delays.
