Job summary

ING Hubs Poland is hiring a Document Management Specialist II to strengthen governance, portfolio and financial steering, and cross-functional execution with stakeholders across Tech NL, Finance, Procurement, and suppliers.

You will report to the Tech NL CIO Office lead and enable transparent decision-making by linking strategy to execution, strengthening reporting and controls, and guiding senior stakeholders.

Qualifications

• Experience in governance, stakeholder management in a complex tech/finance/procurement environment.
• Experience in a large global matrix organization.
• Proficient in stakeholder management at senior leadership levels.
• Excellent level of English.

Responsibilities

• Management information: improve reporting quality, transparency, and timeliness by connecting data from sources and producing insights for senior stakeholders.
• Stakeholder alignment: coordinate across Tech NL, Finance, Procurement, Risk, and vendors to unblock delivery and align expectations.
• Process & controls: maintain audit-ready processes and support improvements in approvals, documentation, and control evidence.
• Metrics & OKRs: define metrics, translate objectives into measurable outcomes, and track progress with RAG status.
• Consultative support: act as trusted advisor to CIO Office lead and domain leadership to structure ambiguity and drive outcomes.
• Procurement support (eProfit/iBuy): guide users on requisitions, invoices, contracts, and POs including roles and approvals.
• Issue resolution & data quality: investigate blockers and correct data to keep workflows moving.
• Finance & reporting alignment: coordinate with Finance/Procurement to maintain accurate reporting inputs and workload estimations.
