About the Role
We are seeking a highly organized and proactive Office Coordinator to support the smooth operation of a dynamic corporate office environment in the heart of Wroclaw. This role combines office administration, workplace coordination, stakeholder engagement, compliance support, and employee experience activities.
As a key member of the local team, you will ensure efficient office operations, coordinate workplace services, support business initiatives, and contribute to a positive and professional office culture. Key Responsibilities
- Coordinate daily office operations to ensure an efficient, safe, and professional workplace environment.
- Prepare, maintain, and distribute operational reports, records, and business documentation.
- Manage visitor administration, office access requests, and security-related processes.
- Provide administrative support across areas including HR administration, finance, purchasing, and office management.
- Coordinate supplier interactions and support invoice processing, purchase requests, and payment-related activities.
- Maintain office policies, procedures, records, and compliance documentation.
- Support audits, reviews, and control activities by coordinating and providing required documentation.
- Partner with internal teams to support workplace initiatives, office changes, and operational projects.
- Build strong relationships with employees, service providers, and stakeholders to ensure excellent service delivery.
- Coordinate office supplies, facilities requests, employee events, and workplace engagement activities.
What We're Looking For
- High school diploma or Bachelor's degree in Business Administration, Finance, Economics, Supply Chain, or a related field.
- Previous experience in office administration, workplace coordination, executive support, or business operations.
- Strong organizational and multitasking skills with the ability to manage competing priorities.
- Excellent communication and stakeholder management skills.
- Ability to work independently while collaborating effectively across teams.
- High level of professionalism, discretion, and attention to detail.
- Experience supporting compliance, reporting, or audit-related activities is considered an advantage.
- Customer-focused mindset with a proactive and solution-oriented approach.
- Fluency in both English and Polish is mandatory.
- Proficiency in Microsoft Office applications.
