Job summary

Madiff – an international IT consulting company – seeks an energetic, well-organized office assistant to support daily operations and help expand AI and Zoho use across the company. The role involves assisting HR, Sales and Project teams, organizing meetings, and onboarding consultants in Warsaw.

You will work with AI tools (ChatGPT, Claude) to automate tasks and improve processes, while maintaining a proactive, independent approach in an international setting.

Qualifications

• Fluent in English (spoken and written).
• Strong MS Office knowledge and document handling.
• High level of organization and ability to multitask.
• Genuine interest in AI and hands-on experience with AI tools.

Responsibilities

• Manage office operations and day-to-day activities.
• Handle documentation and correspondence.
• Support HR, Sales and Project teams.
• Organize meetings, events and business trips.
• Assist consultants during onboarding and daily tasks.
• Provide ongoing support to the Business Director.
• Work with Zoho Recruit, maintain data and reports.
• Utilize AI tools to automate and optimize daily work.
• Identify opportunities to apply AI across HR, Sales and Operations.
