Role Overview
We are seeking a highly experienced Immigration Production Coordinator to serve as the operational backbone of a fast-scaling US-based immigration law firm. This is not a general coordination role, the ideal candidate must have deep, hands‑on knowledge of US immigration processes, USCIS filings, and case lifecycle management, combined with strong production and operations coordination skills.
If you cannot distinguish an I-485 from an I-130, this role is not for you. If you can, and you thrive in fast-paced, high-accountability environments, we want to meet you.
Immigration Knowledge — Hard Requirements
- Must have working knowledge of USCIS forms: I-130, I-485, I-765, I-131, I-140, I-539, and N-400
- Understand the full adjustment of status process vs. consular processing pathways
- Familiar with RFE (Request for Evidence) workflows, tracking, compiling responses, and deadline management
- Knowledge of EOIR immigration court procedures and hearing scheduling
- Understand visa categories: family-based, employment-based, humanitarian (asylum/TPS), and non-immigrant visas
- Able to read and interpret USCIS notices, NOIDs, approval/denial letters, and priority dates
- Familiar with USCIS processing timelines, case status tracking, and receipt notice management
- Experience with Docketwise or equivalent immigration case management software strongly preferred
Production & Operations Responsibilities
- Run daily case workflows and production admin for the attorney and paralegal team
- Build, maintain, and enforce SOPs for case intake, filing, and follow-up processes
- Manage hearing trackers, case calendars, attorney scheduling, and file handoffs
- Monitor case submission pipelines, USCIS mailing lists, and flag RFEs/notices immediately
- Own SharePoint and Docketwise file systems, organize, audit, and maintain case records
- Run daily team huddles and keep the production floor on track and accountable
- Own the entire case journey, from client intake handoff to final USCIS submission, ensuring zero delays, zero missing documents, and zero dropped cases
Executive & CEO Support
- Manage CEO calendar, inbox, and high-level scheduling with full confidentiality
- Build weekly KPI dashboards and production performance reports
- Drive cross-team check-ins, strategic meetings, and CEO-directed projects
- Track firm compliance: attorney licenses, vendor renewals, court registrations
- Coordinate contract attorneys and produce monthly efficiency and output reports
Finance & Payments Coordination
- Track attorney case reviews for compensation calculations
- Manage client payment trackers, installment schedules, and outstanding balance follow-ups
- Liaise with bookkeeping for payroll processing and vendor payments
Client Intake Bridge
- Bridge the gap between Client Intake (PNC) and Production, ensure flawless new matter setup
- Monitor New Work Planner and all client communication channels daily
- Track client satisfaction surveys and flag quality issues immediately
Tech & Systems
- Oversee CRM and immigration case management tools, ensure full team adoption
- Coordinate IT issue resolution and enforce firm-wide data security protocols
Must-Have Requirements
- Minimum 2+ years of direct experience at a US immigration law firm, non-negotiable
- Proven hands‑on knowledge of USCIS filings, case types, and immigration court processes
- Bachelor's degree in Business, Management, Law, or a related field
- 1–3 years in Project Coordination, Operations Management, or Executive Support
- Excellent English, written and spoken, at a client‑facing professional level
- Rock‑solid organization, extreme attention to detail, and strong follow-through
- Comfortable managing multiple high-priority cases and deadlines simultaneously
Nice-to-Haves
- Docketwise experience (strong advantage)
- Familiarity with EOIR, NTA processes, and immigration court deadlines
- Prior experience as an immigration paralegal or legal case manager
- Exposure to US law firm culture, compliance standards, and client communication norms
