Job summary

Winning Assistants LLC. is seeking a weekend intake specialist to support U.S. healthcare clients. This full-time contractor role requires handling high-volume calls, guiding families through intake forms, and documenting patient information in Lumary with HIPAA compliance.

You will work Saturday–Sunday 10:00 AM–7:00 PM and Monday 5:00 PM–9:00 PM, ET; Tuesday–Friday: 4:00 PM–9:00 PM ET. Must have at least 1 year of relevant experience and strong English communication skills.

Qualifications

At least 1 year of experience in ABA services, healthcare, behavioral health, or patient intake.
Experience handling inbound and outbound calls in a high-volume environment.
Familiarity with Lumary and Salesforce is preferred.
Strong communication with families, patients, or caregivers.
Ability to follow structured intake forms and decision-tree workflows with minimal supervision.

Responsibilities

Provide weekend intake coverage by handling a high volume of inbound and outbound calls.
Guide families through a step-by-step, decision-tree intake form.
Gather and document patient and family information in Lumary with accuracy.
Explain intake requirements and next steps clearly and compassionately.
Follow up with families after intake to obtain missing documentation (referrals, diagnosis paperwork, insurance information).
Develop positive, professional relationships with families and act as a reliable contact throughout intake.
Process intake-related faxes by uploading documents to the correct patient profile.
Escalate complex intake concerns according to established procedures.
