Job description:
We are looking for an experienced and reliable Warehouse Assistant - Inbound who will be responsible in leading the end-to-end inbound operations of the Digital Commerce Warehouse, covering stock receiving, quality assurance inspection, and accurate system posting.
This role ensures all inbound stocks meet the established quality standards required for online selling, are properly documented, and are posted in the system within agreed timelines.
The role also carries full accountability for managing, coaching, and developing the inbound team to deliver consistent and high-performing operations.
Key Responsibilities
Operations
- Plan and coordinate the daily receiving schedule to ensure all inbound deliveries are processed within agreed service-level timelines.
- Lead the physical receipt of stocks against the Delivery Receipt (DR), verifying item count and SKU accuracy.
- Conduct or oversee quality assurance inspection of all received stocks in accordance with established quality standards for online selling, including but not limited to product quality, labeling, and completeness.
- Identify, document and process in the system all discrepancies (overages, shortages, wrong items) between actual received stocks and the corresponding DR; expedite variances immediately to the Warehouse Supervisor and coordinate with TSA Main Warehouse to settle.
- Manage the transfer of defective or damaged stocks to the designated storage location (SLOC) and staging area, and endorse these to the Dispatch Team with complete documentation.
- Enforce proper stock placement and labeling procedures immediately after receiving to maintain inventory accuracy and warehouse organization and efficiency.
- Escalate significant operational issues, recurring discrepancies, or quality concerns with supporting data and proposed resolutions.
Reports/System
- Process and post Goods Receipts (GR) for all received stocks in SAP on the same day of receipt, ensuring accuracy of quantities, material codes, and storage locations.
- Prepare, update and analyze immediately all inbound monitoring and KPI reports
- Prepare a consolidated report of all inbounded stocks on a SKU level for both good and defective items.
- Perform and coordinate all other ad hoc inbound-related system and documentation requirements as assigned.
- Ensure the completeness and accuracy of all transactions, reports and system posting.
Team Management and Development
- Daily planning of Inbound activities to identify priorities, targets and discuss operational reminders to inbound team.
- Track team and individual productivity metrics, identifying trends and recommending corrective actions to close performance gaps.
- Continuously review, document, and recommend improvements to existing inbound Standard Operating Procedures (SOPs) and workflows; implement approved changes and ensure team compliance.
Qualifications
- Bachelor's degree in business administration, business management, operations management, or any related field.
- With at least 1 year of experience in Warehouse Distribution, Retailing - inbound
- Knowledgeable in SAP Software (SD and MM) Warehouse Management and Inventory Management systems (WM and IM)
- Knowledgeable in Microsoft Office including Word, Excel, and PowerPoint.
- Effective verbal and written communication skills.
- Able to handle multiple tasks simultaneously and to work independently and efficiently (detail-oriented) in a fast-paced environment.
