Care Center Clinic is seeking a Warehouse and Inventory Staff to ensure accurate stock records and smooth order fulfillment across its clinics, pharmacies, and online shops in Metro Manila. The role supports HQ Operations with visibility on stock levels, movements, and compliance.
The position requires on-site work, cycle counts, proper handling, and coordination with multiple teams to resolve discrepancies and ensure timely fulfillment.
The Warehouse and Inventory Staff is responsible for maintaining accurate inventory records, handling and moving stocks safely, supporting warehouse and site replenishment, and fulfilling customer orders received through company e-commerce and online sales channels.
The role provides HQ Operations with timely visibility over stock levels, stock movements, fulfillment status, variances, expiry risks, and supporting documentation across warehouses, clinics, pharmacies, and online shops.
A. Inventory Control & Stock Accuracy
Monitor and maintain accurate inventory records and stock levels across warehouses, clinics, pharmacies, and other assigned locations.
Perform regular cycle counts, physical inventories, and reconciliations to align physical stocks with system and manual records.
Identify, investigate, document, and report inventory discrepancies, variances, stock losses, and other stock-related issues.
Track expiry dates and identify expired, near-expiry, damaged, slow-moving, quarantined, and adjusted inventory for proper action.
Ensure complete and accurate documentation of receiving, put-away, transfers, dispatches, returns, issuances, and inventory adjustments.
Coordinate the dispatch and transfer of inventory to warehouses, clinics, pharmacies, and other authorized locations.
Apply proper storage, stock rotation, labeling, segregation, and handling requirements, including First-Expiry-First-Out (FEFO) procedures where applicable.
Support the implementation of and compliance with approved inventory controls, workflows, and service standards.
Coordinate with Warehouse, Pharmacy, Procurement, Finance, and Operations teams to resolve inventory discrepancies and stock availability concerns.
B. Online & E-Commerce Order Fulfillment
Fulfill customer orders received through the company website, online marketplace accounts, social commerce channels, and other authorized e-commerce shops.
Validate order details, item availability, quantity, selling unit, batch or lot information, expiry date, and any required prescription or internal clearance before processing, in coordination with the authorized pharmacist or responsible team when applicable.
Pick the correct items from inventory and apply appropriate stock rotation and handling requirements.
Pack orders securely and accurately using approved packaging, labels, official documents, and temperature or product-handling controls when required.
Prepare order documentation, update fulfillment status, and ensure that inventory deductions or issuances are recorded accurately in the applicable system or tracker.
Coordinate parcel handover, pickup, or dispatch with riders, couriers, logistics partners, pharmacists, and Operations based on the approved fulfillment process.
Monitor pending, packed, dispatched, failed, returned, cancelled, and completed orders and report fulfillment exceptions promptly.
Assist in processing approved returns, exchanges, failed deliveries, and order discrepancies while protecting product quality and inventory accuracy.
Meet established order cutoffs, turnaround times, service levels, and accuracy targets without bypassing pharmacy, payment, documentation, or inventory controls.
Maintain customer and order information confidentiality and follow authorized access and data-handling requirements.
C. Warehouse Operations & Physical Handling
Receive, count, inspect, label, arrange, store, retrieve, and prepare stocks in accordance with approved procedures.
Perform the physical handling, lifting, carrying, loading, unloading, arranging, and transfer of stocks as part of daily warehouse, inventory, and fulfillment activities.
Maintain orderly, clean, safe, and accessible storage and packing areas.
Promptly report safety hazards, damaged facilities, or other warehouse concerns.
Use warehouse, packing, scanning, printing, and material-handling equipment properly and report equipment issues immediately.
Support urgent replenishment, physical inventory, dispatch, and fulfillment requirements based on operational needs and approved schedules.
D. Data Tracking & Reporting
Maintain inventory, stock movement, fulfillment, dispatch, return, and procurement-related trackers accurately and on time.
Generate regular reports on stock levels, aging, expiry exposure, variances, order fulfillment, pending dispatches, returns, and procurement status.
Provide HQ Operations with accurate and timely inventory and fulfillment updates for planning, decision-making, and issue resolution.
Support data validation, reconciliation, master-data checking, system implementation, and audit activities.
Escalate data inconsistencies, unrecorded movements, unresolved variances, delayed orders, stockouts, and other operational risks promptly.
E. Compliance & Process Support
Follow approved warehouse, inventory, procurement, pharmacy, e-commerce fulfillment, safety, and documentation procedures.
Support internal and external audits, stock counts, investigations, and corrective actions related to inventory and fulfillment.
Maintain complete, accurate, traceable, and audit-ready records for all assigned transactions.
Identify process gaps, control weaknesses, and recurring issues and recommend or elevate appropriate corrective actions.
Observe company policies on integrity, confidentiality, conflicts of interest, product security, and loss prevention.
F. Other Responsibilities
Perform other warehouse, inventory, logistics, and fulfillment-related duties as assigned.
And any duties that may be assigned from time to time.
A. Minimum Qualifications
Bachelor's degree in Supply Chain Management, Logistics, Business Administration, Operations Management, or a related field.
Relevant vocational training or equivalent practical experience may be considered based on company requirements.
At least one (1) to two (2) years of experience in inventory control, warehouse operations, logistics, procurement support, retail fulfillment, or a related function.
Experience in stock tracking, physical inventory, reconciliation, documentation, and operational reporting.
Willingness and physical ability to perform regular stock handling, lifting, carrying, loading, unloading, arranging, and transfer activities safely.
Ability to work onsite and support inventory counts, dispatch schedules, order cutoffs, and operational requirements when needed.
B. Preferred Experience
Experience in retail, pharmacy, healthcare, FMCG, logistics, warehouse, or multi-site operations.
Experience fulfilling orders for websites, Shopee, Lazada, social commerce, or other e-commerce and online marketplace channels.
Familiarity with inventory management systems, ERP platforms, order management systems, point-of-sale systems, or warehouse software.
Basic knowledge of medicine, healthcare products, or regulated-item handling and documentation is an advantage.
