The Qualifications We Seek
- Bachelor's degree, preferred
- At least 6 months of related payroll experience
- Proficiency in Microsoft Excel and Word
- Good verbal and written communication skills
- Excellent interpersonal and relationship-building skills
- Ability to collaborate effectively with peers in a professional and congenial work environment
- Ability to maintain compassion and dignity toward residents and adhere to the Resident Bill of Rights
- Commitment to company attendance policies and the terms and conditions outlined in the Employee Handbook
- Commitment to all facility policies and procedures
- Availability for call-back during emergency conditions, including severe weather, evacuations, or temporary staffing shortages
- Ability to work onsite, follow shifting schedules, and render overtime as needed
Your Daily Tasks
Payroll Processing and Reporting
- Obtain weekly verification from directors of each employee's hours worked to ensure timely payroll processing
- Process payroll, obtain required approvals, and provide necessary information to the Support Center
- Evaluate missed punches and elevate findings to upper HR management
- Track weekly overtime and submit KPI figures to the Regional Business Office Manager
- Add employee raises as needed
- Complete weekly payroll comparisons and submit results to the Regional Business Office Manager and VP of Human Resources Records and Compliance
- Review health insurance invoices
- Review vacation, PTO, and sick leave balances for staff
- Complete and submit employment verifications
- Ensure new hires are entered into the system accurately and on time
- Complete Equal Employment Opportunity (EEO) submissions
- Distribute W-2 forms
- Run weekly utilization reports and provide results to the HR Head
- Close terminated employee files and ensure termination notices are submitted to the Support Center as scheduled
- Resolve personnel issues related to 401(k), medical insurance, dental insurance, and other employee benefits
Operational Support
- Coordinate with Accounts Payable and the payroll provider to establish GL codes for new departments or deductions
- Assist departments with scheduling software and arrange required training in coordination with the Executive Director
- Collaborate with the HR team to obtain reports required for 401(k) audits, workers' compensation audits, and other reviews assigned by the Regional Business Office Manager or VP of Human Resources
- Coordinate with directors to ensure compliance with the Attendance Occurrence Policy and delivery of appropriate disciplinary notices
Tax Support
- Register communities for state taxes, state unemployment taxes, and local taxes
- Ensure all required Tax IDs are accurately recorded in the system
