Job summary

Geng Tok Group is seeking an experienced Operations Executive to support and manage physical oil trading operations, focusing on crude oil and product cargoes. You will coordinate with traders, suppliers, inspectors, shipowners, banks, and customers to ensure smooth execution—from contract to final settlement.

The role requires strong knowledge of bulk cargo execution, LC documentation, vessel chartering, shipping operations, and the ability to handle complex transactions under pressure.

Qualifications

• Bachelor’s degree in Business, Supply Chain, International Trade, or related field.
• 2–3 years experience in physical oil trading operations.
• Experience with crude/fuel oil cargo operations.
• Solid knowledge of LC documentation and shipping documents.
• Familiar with Incoterms and trade finance processes.

Responsibilities

• Handle end-to-end physical cargo operations for Crude oil and Product.
• Draft, review, and execute contracts and documentary instructions.
• Prepare LC applications and amendments based on contractual requirements.
• Monitor cargo movement, loading/discharging schedules, and delivery timelines.
• Coordinate with traders, suppliers, customers, inspectors, banks, and other counterparties.
• Review shipping documents: Commercial Invoice, Bill of Lading, LCs, and certificates.
• Liaise with shipowners, brokers, and agents on vessel nominations and operational matters.
• Monitor vessel schedules, port operations, NOR, laytime, demurrage, and voyage performance.
• Identify risks and implement controls for contractual, documentary, shipping, quantity, and quality issues.

About the role

Geng Tok Group is seeking an experienced Operations Executive to support and manage physical oil trading operations, mainly for Crude oil and Product cargoes. The candidate should possess strong knowledge in bulk cargo execution, LC documentation, vessel chartering coordination, shipping operations, and handling complex/non-standard transactions. This role requires close coordination with traders, suppliers, inspectors, terminals, shipowners, brokers, banks, and customers to ensure smooth execution of physical trades from contract stage to final settlement.

Key responsibilities

• Handle end-to-end physical cargo operations for Crude oil and Product
• Draft, review, and execute sales and purchase contracts, ensuring compliance with all contractual terms
• Prepare and issue documentary instructions (DI), loading instructions, discharge orders, delivery orders, and other operational instructions
• Monitor cargo movement, loading/discharging schedules, and delivery timelines
• Work closely with traders, suppliers, customers, shipping agents, terminals, inspectors, and other counterparties to ensure smooth shipment execution
• Draft and review Letters of Credit (LCs), LC applications, and amendments based on contractual requirements
• Review and prepare shipping and trade documents including Commercial Invoice, Bill of Lading, Cargo Manifest, Certificate of Origin, Certificate of Quantity, Certificate of Quality, letters of indemnity, delivery orders, and discharge orders
• Liaise with shipowners, charterers, brokers, and agents on vessel nominations and operational matters
• Monitor vessel schedules, port operations, NOR, laytime, demurrage, and voyage performance
• Monitor operational exposure and identify potential contractual, documentary, shipping, quantity, and quality risks

About you

• Bachelor's Degree in Business, Supply Chain, International Trade, Logistics, or related disciplines
• Minimum 2-3 years of experience in physical oil trading operations
• Strong experience in Crude/ Fuel Oil cargo operations
• Practical experience in drafting and reviewing trade contracts, documentary instructions, discharge orders, LCs, and shipping documents
• Familiar with Incoterms, shipping practices, and trade finance processes
• Experience handling LC transactions and banking documentation, and documentary discrepancies
• Good understanding of vessel chartering and tanker operations, laytime, and demurrage
• Ability to interpret cargo specifications, Certificates of Quality, and laboratory analysis reports
• Strong attention to detail, communication, problem-solving, and time-management skills
• Ability to work independently under pressure and manage multiple cargoes simultaneously
