About the Role
We are seeking a highly skilled Title Production Assistant to support our client’s firm and work closely with the client’s U.S. real estate attorneys. This role will be responsible for managing a variety of tasks, including preparing and tracking closing files, managing disbursements, table closings and post‑closing activities. We are looking for a professional who has experience working in a legal setting and has strong communication skills.
Key Responsibilities
Order Opening & Initial Coordination
- Open and set up new title orders in the system
- Send welcome communications to buyers, sellers, and agents
- Track and confirm receipt of required information and documents
- Ensure files are complete and accurate at opening
Title & Search Coordination
- Order and follow up title searches and surveys
- Manage requests and follow‑ups for title products
- Issue CPLs (Closing Protection Letters)
- Assist in preparing title commitments for attorney or closer review
Florida Residential Closings (A‑Z)
- Handle Florida Residential Real Estate Closing from start to finish
- Prepare and track critical dates for attorney review
- Prepare first drafts of closing documents for attorney review
- Prepare closing statements for attorney review
- Coordinate closely with attorneys, lenders, agents, and internal closers
Pre‑Closing Support
- Assist with preparation of preliminary settlement statements (HUD/CD)
- Coordinate and schedule closings with all parties
- Ensure all pre‑closing conditions are met and documented
Funding, Recording & Post‑Closing
- Track receipt of buyer funds and lender wires
- Prepare and upload documents for recording and attorney review
- Confirm recording with county offices
- Prepare title policies for attorney review
- Support issuance of final title policies and ensure post‑closing documents are properly filed
Qualifications & Preferences
- Strong background in U.S. title production (Florida experience preferred)
- Experience handling residential real estate closings
- Experience with Qualia or similar title software is a plus
- Licensed Florida Title Agent or Paralegal is preferred but not required
- Excellent attention to detail and organizational skills
- Strong written and verbal English communication
- Comfortable working onsite - Muntinlupa City following U.S. Eastern Time hours
- Confident, proactive, and able to follow up independently
