Sphere Rocket VA US is seeking a detail-oriented recruiter/virtual assistant to manage end-to-end candidate processes and onboarding. The role involves maintaining ATS records, multi-channel outreach, and ensuring compliance across documentation.

You will handle driver/applicant profiles in portals like Amazon Relay and J. J. Keller, verify identities, and coordinate with hiring managers to set next steps. Strong Excel/Sheets and fast portal mastery are essential.

Qualifications

• Proven experience in recruitment, applicant coordination, HR administration, or onboarding in a corporate environment or as a Virtual Assistant.
• Required proficiency in Microsoft Excel and Google Sheets for data entry, applicant logging, and pipeline tracking.
• Ability to quickly master custom software platforms and specialized industry portals (Amazon Relay, J. J. Keller, ATS platforms)

Responsabilités

• Maintain and update applicant tracking spreadsheets, ensuring accurate records of candidate information, stage updates, and onboarding progression
• Conduct multi-channel candidate outreach via phone calls and SMS to guide prospective hires through sequential onboarding steps
• Review, verify, and complete required hiring documentation, tax forms, compliance paperwork, and identity verification submissions
• Manage and update the end-to-end recruitment and onboarding pipeline to ensure real‑time visibility into active candidate statuses
• Conduct concise 5-minute candidate handoff calls to review prior work experience, clarify job responsibilities, verify compensation expectations, and set next steps before transferring candidates to hiring managers
• Access and navigate operational portals such as Amazon Relay and J. J. Keller to manage driver/applicant profiles, complete submissions, and maintain compliance records
