Grace Global Business Services (GBS) in Manila, Philippines, supports Grace’s worldwide operations by handling requisitions and converting them to purchase orders within 24 hours of receipt. The role focuses on Europe and Asia locations, managing a queue of requests and communicating with requestors on emergencies.

You will collaborate with buyers, ensure proper pricing and SOW documentation, and maintain compliance with supplier policies while expediting orders and managing logistics for timely

Qualifications

• Good written and verbal communication in English and German.
• B.S. degree required.
• 1–2 years procurement experience with indirect materials is a plus.

Responsibilities

• Manages queue of requisitions from Europe and Asia locations; convert to purchase orders within 24 hours of receipt.
• Manages emergency and time sensitive requisitions and communicates with the requestor.
• Interfaces with buyers for exceptions and emergencies as needed.
• Ensures pricing and statement of work documentation is included for POs.
• Creates purchase orders with supplier, item descriptions, text, tax codes, etc.
• Uses preferred suppliers and justifies changes when necessary.
• Provides links and guidance on document completion and submission.
• Confirms PO receipt, terms, and delivery; expedites as needed.
• Supports domestic and international delivery logistics with buyers.
• Participates in supplier audits (ISO, Supplier Qualification, EH&S).
• Maintains open order reports and follows procurement policies.
• Engages in safety and ethics training as required.

Job Description

This role primarily supports procurement of goods and services in Europe and Asia locations, by managing requisitions. Main responsibility is to ensure that all purchase requisitions are properly reviewed for accuracy and converted to purchase orders within 24 hours upon receipt.

Responsibilities

• Manages \"queue\" of requests/requisitions from all Europe and Asia locations. In most cases, requisitions with complete information should be converted to purchase orders within 24 hours of receipt;


• Manages \"emergency\" and other time sensitive requisitions and requests and; appropriately communicates to the requestor;


• Communicates to buyers for exceptions and emergencies when support is needed;


• Ensures proper documentation of pricing and statement of work is included for purchase orders;


• Accurately creates purchase orders with appropriate supplier, line item descriptions, text, legal information, tax codes, etc. and other information needed to efficiently execute a purchase as well as payment;


• Ensures that preferred suppliers are used whenever possible. Works with the requestor to either justify not using the preferred supplier or change to a preferred supplier for the request;


• Provides links to appropriate documents - although this is the responsibility of the requestor, the buyer will provide guidance and support, including providing correct documents and guidance on completion and submission of documents;


• Confirms purchase order receipt, terms, and delivery, as required;


• Expedites as needed. Follows up with buyers to assist with domestic and international delivery logistics;


• Interfaces with end-users, vendors, and accounting personnel to aid resolution of purchasing and invoicing issues. Promptly addresses work cycles;


• Participates in suppler audits, as needed, including, but not limited to, ISO, Supplier Qualification and EH&S;


• Manages and tracks open order reports;


• Follows all policies and procedures for procuring materials;


• Performs work in a safe and professional manner. Participates in safety initiatives;


• Completes all required training and communication, including, but not limited to, ethics certification, ethics training, and safety training modules;

Required Qualifications

• Nice to have 1-2 years procurement experience with Indirect Materials or other relevant work experience (Examples include contractors, industrial services, IT services and hardware, HR services, MRO, and facilities.)


• Basic knowledge of SAP, SAP ARIBA, Readsoft (Workcycle) - rediness to develop IT skills


• Good written and verbal communication skills in English and German languages


• Team player and abilty to be collaborative with cross-functional groups;


• B.S. degree required
