Job Description
Trust Account and Banking Tasks
- Complete daily trust account transaction reconciliation.
- Download daily trust statements.
- Download transactions from the Centrelink website.
- Download PayWay payment reports.
- Complete bank trust account reconciliation as required.
- Complete mid-month and end-of-month bank reconciliation where rostered.
Bills and Invoices
- Upload bills into PropertyMe.
- Process invoices in PropertyMe.
- Monitor and manage non-standard invoices where allocated.
- Update and maintain the Land Tax Tracker spreadsheet.
- Monitor land tax items and follow up where required.
Bonds
- Complete new tenant bond lodgements in Bonds Online.
- Complete bond variation lodgements in Bonds Online.
- Complete weekly bond supplier account reconciliation.
- Manage bond variation approvals where rostered.
- Ensure bond records are accurate and up to date.
Leasing Administration
- Prepare new leases.
- Set up new tenancies.
- Prepare lease renewals.
- Prepare lease variations.
- Prepare Management Agreement amendments.
- Prepare Management Authority extensions.
- Ensure all lease and agreement documents are ready for Senior Support Services Admin review.
New Management and Property Setup
- Set up new property records.
- Set up new owner profiles.
- Complete Management Agreement amendments where required.
- Complete Management Authority extensions.
- Complete Water Corporation rates registration.
- Complete council rates registration.
- Complete cancellations in WMIS.
Pre-Handover and Third-Party Tasks
- Complete pre-handover administration tasks.
- Complete third-party notification tasks.
- Assist with other daily property management administration tasks as required.
Qualifications and Requirements
EXPERIENCE:
- 1-2 years of experience in Australian real estate, property management, or a related field, with a focus on rentals or leasing.
SOFTWARE:
- Proficiency in PropertyMe and Microsoft Office Suite (Word, Excel, Outlook) and familiarity with property management software and CRM systems.
PERSONALITY MATCH/SOFT SKILLS:
- Strong customer service and interpersonal skills, with the ability to build and maintain positive relationships with clients and tenants.
- Excellent verbal and written communication skills.
- Exceptional organizational skills with the ability to manage multiple tasks simultaneously.
