Job summary

The International Committee of the Red Cross (ICRC) in Makati City, Philippines, seeks a Welcome Officer to organize arrivals, travel arrangements, visas and permits, and on-site registration and accommodation. Key duties include meeting staff on arrival, coordinating with authorities, arranging travel, and maintaining Welcome files and briefing programs for new arrivals.

Requirements: Bachelor’s degree or equivalent; very good English; computer proficiency; four years of relevant experience;

Qualifications

• Bachelor's degree or equivalent in administration, travel, tourism, or a related field.
• Very good command of written and spoken English.
• Computer proficiency and ability to run specific software.

Responsibilities

• Meets staff and guests on arrival and escorts to suitable accommodation.
• Coordinates with ministries, consulates and other authorities regarding certificates, visas, permits and registrations.
• Conducts regular checks to ensure accommodation is safe and suitable; escalates problems to the appropriate department.
• Organizes staff travel by the most cost-efficient means and arranges airport drop-offs/pick-ups as needed.
• Manages travel communication between ICRC offices, sub-delegations, delegations and headquarters.
• Keeps travel and staff databases up to date and maintains residences, schools and airline information.
• Assembles Welcome files, briefing programmes and tours of the delegation for new arrivals.
• Organizes the Welcome side of events/meetings, coordinating with concerned parties.
