Job summary

IQVIA Manila is seeking a Manila Speaker Bureau Logistics Planner to act as the main contact for venue, F&B, and AV vendors. You’ll support meeting logistics for field sales reps within client rules and SLAs.

Role requires 2+ years in events planning or customer service, with US client experience. On-site in Makati/Taguig area, night shifts may be required. Knowledge of SharePoint, Salesforce and Smartsheet is a plus.

Qualifications

• 2+ years of events planning and/or customer service experience.
• Previous work experience catering to US clients, preferably in a phone-based CS role.
• Pharma industry experience is a plus.
• Familiarity with US cultural norms and practices.
• Proficiency in MS Office (Word, Excel, PowerPoint, Teams) and Outlook.
• Knowledge in SharePoint, Salesforce and Smartsheet preferred.
• Proficiency in using phone systems such as Twilio and CRM software.
• Ability to analyze information and resolve routine problems.
• Able to work during US standard business hours and flexible on schedule.
• Able to multi-task and maintain attention to detail.
• Able to report onsite in Mckinley Taguig.
• Comfortable in fast-paced team environments; independent work possible.
• Exceptional customer service skills with urgency and problem solving.
• Excellent verbal and written communication; concise and actionable.

Responsibilities

• Collaborate as part of client Core Team of planners and other planner roles.
• Coordinate all aspects of planning and delivery of meeting logistics within rules and budget.
• Confirm and secure location bookings with compliance per SOP.
• Plan and confirm Food & Beverage needs for attendees and staff.
• Review and secure AV needs per meeting requests.
• Coordinate venue, food/bev, and AV confirmations with Meeting Planner.
• Ensure timely tasks and required documents are sent and tracked per SLAs.
• Communicate with planners and vendors regarding task progress and inquiries.
