Job summary

JJ Grand Premium Fruits is seeking a detail-oriented Shipping Coordinator to handle documentation, order coordination, loading and dispatch, and inventory verification in a food manufacturing setting.

You will collaborate with warehouse, production, QA, accounting, purchasing and logistics to ensure on-time shipments, accurate records and strict compliance with GMP, sanitation and safety policies.

Qualifications

• Graduate of BS Logistics Management or related course.
• With experience in shipping, warehouse, logistics, or inventory operations is an advantage.
• Knowledge of basic shipping and warehouse documentation.
• Basic computer skills, particularly Microsoft Excel and Word.
• Good attention to detail and accuracy in checking quantities and documents.
• Good organizational and communication skills.
• Ability to work under pressure and meet delivery schedules.
• Willing to work in a food manufacturing/production environment and follow safety procedures.
• Willing to work on shifting schedules, overtime, weekends, or holidays when required.

Responsibilities

• Prepare and process delivery receipts, invoices, shipping documents, loading lists, and other paperwork.
• Verify that shipping documents match the actual quantity, product, and destination.
• Maintain organized and updated shipping records and files.
• Receive and verify shipping or delivery instructions from authorized personnel.
• Coordinate with Warehouse, Production, QA, Accounting, Purchasing, and Logistics regarding outgoing shipments.
• Monitor the schedule of deliveries and ensure shipments are dispatched on time.
• Assist in checking finished goods before loading.
• Verify product description, quantity, packaging condition, batch/lot number, and destination.
• Ensure correct products are loaded onto the assigned vehicle.
• Coordinate with drivers and helpers during loading and dispatch.
• Assist in reconciling actual stocks against shipping documents.
• Report discrepancies in quantity, product identification, or documentation immediately.
• Ensure proper recording of stocks released from the warehouse.
• Ensure that only properly approved and released products are shipped.
• Coordinate with QA for product release requirements when applicable.
• Follow company policies on food safety, GMP, sanitation, warehouse safety, and security.
• Ensure proper handling of products to prevent damage or contamination during loading and transport.
• Monitor returned delivery documents and ensure copies are received.
• File completed shipping and delivery documents for easy retrieval and audit purposes.
• Track missing or incomplete documents and coordinate with concerned personnel.
• Communicate shipment status, delays, discrepancies, and other issues to the supervisor.
• Prepare daily or periodic shipping reports as required.
• Assist in resolving delivery and documentation concerns.
• Maintain cleanliness and orderliness of the shipping/dispatch area.
• Assist during inventory counts and warehouse audits.
• Perform other related duties as assigned.
