Job summary

Outsourced Staff is looking for a detail-focused coordinator to support bid preparation for civil/road design projects. You will review enquiries and drawings, ensure plans align with the schedule, and request clarifications to avoid assumptions.

You will perform takeoffs using Adobe for markup, tally quantities in Excel, and build quotes using company templates. You will coordinate with suppliers and manage quote turnaround.

Responsibilities

• Review new enquiries and plans supplied for the job.
• Check plans against the schedule and flag differences before quoting.
• Request missing photos or information from management.
• Perform takeoffs from civil/road drawings using Adobe for markup.
• Record and tally quantities in Excel and build quotes using templates.
• Ensure quote accuracy and turnaround time with minimal supervision.
• Source and compare supplier pricing for each job.
• Chase and follow up outstanding supplier pricing.
• Calculate margins and final cost before submission to management.
• Prepare quotes for management to review and issue to client initially.
• Communicate with suppliers using official company email.
• Flag potential opportunities to management.
• Over time, handle direct client contact via email first, then phone.
• Ask clarifying questions rather than guessing on instructions.
• Communicate clearly in English with management and suppliers.
• Escalate genuine exceptions only after understanding daily workflow.
• Full-time hours aligned to AEST business hours.
