Purpose of the role
This role sits within the Bookkeeping team and is responsible for the day-to-day bookkeeping of a portfolio of Australian clients, including preparation of Instalment Activity Statements (IAS) and Business Activity Statements (BAS) for review. You will work alongside the team, communicate directly with clients on routine matters, and help keep our clients' files accurate, current and compliant.
The work is intermediate in complexity. You will not be expected to make judgement calls on complex tax or structuring matters — those sit with the team here in Australia. What we do expect is accurate, timely, well-presented work that follows our documented process, needs minimal rework, and a person who flags a problem early rather than pushing it through.

Key responsibilities
- Bookkeeping
- Process and code transactions across a portfolio of client files in Xero and MYOB
- Complete bank, credit card and loan account reconciliations
- Manage accounts payable and accounts receivable processing
- Process supplier documents through Dext and maintain clean, complete source documentation
- Process payroll runs, including superannuation and leave, where a located
- Complete each job in line with the firm's documented checklists and procedures
- Maintain accurate client files and working papers so that any team member can pick up the file and understand it
- All other general bookkeeping tasks as required
- IAS and BAS preparation
- Prepare monthly and quarterly IAS and BAS for review
- Reconcile GST, PAYG withholding and PAYG instalments prior to lodgement
- Prepare supporting workpapers and reconciliations for each activity statement
- Work through the firm's BAS checklist in full before submitting work for review
- Identify and resolve coding errors, unreconciled items and anomalies before submitting work for review
- Maintain lodgement checklists and ensure work is submitted for review well ahead of due dates
- Client communication
- Respond to routine client emails clearly, promptly and professionally, using firm templates where they exist
- Request outstanding information from clients and follow up where it has not been received
- Escalate anything technical, sensitive or outside your scope rather than answering it directly
- Team and workflow
- Participate in team communication and check-ins through Slack
- Update job status and workflow in our practice management system so the team always has visibility of where work is up to — everyday, without being asked
- Contribute to the weekly work-in-progress process by flagging what is ready for review
- Work to agreed turnaround times and raise capacity issues early
- Contribute to process improvement — if there is a better way to do something, we want to hear it, and we will document the change
- Security and compliance
- Comply with our data security and access protocols, including use of Practice Protect
- Handle client information confidently and in line with Australian privacy expectations
- Follow firm policies and procedures as documented in our knowledge base
Qualifications and Requirements
Skills and experience
Essential
- Tertiary qualification in accounting or commerce
- Minimum three years' experience in bookkeeping or accounting, including experience with Australian clients
- Working knowledge of Australian GST, PAYG withholding, PAYG instalments and BAS/IAS preparation
- Demonstrated experience in Xero and MYOB
- Demonstrated ability to work within documented procedures, checklists and workflow systems
- Strong written English and the confidence to communicate directly with clients by email
- Sound Microsoft Office skills, particularly Excel
- Reliable internet connection and a suitable, private home working environment
Desirable
- Experience with Dext or similar document capture tools
- Experience with MYOB AE
- Experience using Slack or a similar team communication platform
- Experience with Australian payroll, including superannuation and STP
- Exposure to Practice Protect or comparable access management systems

What success looks like
First three months — you have completed onboarding, you know your client portfolio, you are completing bookkeeping and reconciliations independently and to checklist, and your IAS and BAS preparation is coming through with few review points.
First six months — you are managing your portfolio end to end within agreed turnaround times, your workflow is always current in the system, you are handling routine client correspondence confidently, and review time is being spent on judgement rather than corrections.
