About The Position

Royal York Property Management is looking for a highly capable Senior Accounts Payable Specialist to support the accuracy, control, and timely execution of our accounts payable operations.

The person in this role will be responsible for reviewing invoices, maintaining vendor accounts, preparing payments, resolving discrepancies, supporting reconciliations, and ensuring that financial records are complete and reliable.

This position requires someone with substantial full-cycle accounts payable experience who can work independently, manage competing priorities, and recognize issues before they become larger problems.

We are not seeking a junior accounting assistant or someone whose background is primarily limited to invoice entry. We need an experienced professional who understands how accounts payable affects cash management, vendor relationships, internal controls, month-end reporting, and the overall integrity of a company’s financial records.

Key Responsibilities
  • Review invoices for accuracy, completeness, authorization, and appropriate supporting documentation
  • Assign invoices to the correct company, general ledger account, department, cost centre, and tax code
  • Enter and process vendor invoices within established deadlines
  • Match invoices against purchase orders, work orders, contracts, service records, and other supporting documents
  • Maintain complete and accurate vendor records, including payment terms, contact information, and banking details
  • Prepare weekly and scheduled payment batches for management review and authorization
  • Reconcile vendor statements and investigate differences between vendor records and the accounting system
  • Resolve missing invoices, duplicate charges, unapplied credits, incorrect balances, and payment discrepancies
  • Monitor invoice due dates, outstanding liabilities, overdue balances, and upcoming payment requirements
  • Respond to vendor inquiries regarding account balances, invoice status, and payment timing
  • Process employee expenses, credit-card transactions, recurring charges, and other operating expenditures
  • Apply the appropriate GST and HST treatment to invoices and expenses
  • Assist with bank, credit-card, and accounts payable reconciliations
  • Support month-end activities, including accruals, prepaid expenses, cut-off procedures, and AP reporting
  • Maintain complete, organized, and review-ready digital records
  • Support accounts payable activity across multiple companies, legal entities, departments, and vendor accounts
  • Identify recurring errors, inefficient workflows, and gaps in existing financial controls
  • Recommend practical improvements to strengthen accuracy, consistency, and efficiency
  • Follow established approval limits, segregation-of-duties requirements, and fraud-prevention procedures
  • Work closely with finance, operations, property management, and maintenance teams to obtain information and resolve payment issues
Education and Professional Requirements
  • Bachelor’s degree in Accounting, Finance, Business Administration with an accounting concentration, or another closely related discipline
  • Philippine CPA designation is considered an asset but is not mandatory
  • Minimum 4 years of dedicated accounts payable or accounting operations experience
  • Candidates with 4–7+ years of directly relevant experience are strongly preferred
  • Previous experience supporting Canadian companies is required
  • Demonstrated experience managing the full accounts payable cycle
  • Experience reviewing, coding, processing, and reconciling a high volume of invoices
  • Working knowledge of Canadian GST and HST coding
  • Experience preparing payment runs or payment batches for review and approval
  • Strong vendor statement reconciliation and discrepancy-resolution skills
  • Experience supporting month-end accounting and closing activities
  • Experience working across multiple companies, legal entities, departments, or cost centres
  • Property management, real estate, construction, maintenance, or service-industry accounting experience is considered an asset
  • Strong proficiency with Microsoft Excel or Google Sheets
  • Experience with QuickBooks Online or another established accounting or ERP system
  • Strong written and spoken English
  • Ability to communicate professionally with vendors, managers, and internal team members
  • Ability to work full-time during Ontario business hours

You do not process invoices without understanding what you are reviewing. You verify documentation, question inconsistencies, investigate unusual activity, and make sure the correct approvals are in place before payments move forward.

You understand that strong accounts payable work requires more than speed. It requires judgment, accountability, proper documentation, effective controls, and careful management of company funds.

Compensation

The annual compensation range for this position is:

C$21,600–C$25,200

Final compensation will be based on the candidate’s depth of accounts payable experience, previous work with Canadian companies, understanding of Canadian tax coding, accounting-system knowledge, industry background, communication ability, and capacity to independently manage the full accounts payable process.
