Job summary

Infinity Sports International Inc. in Makati is seeking a Sales Order Processing Manager to oversee the full cycle from order receipt to invoicing and delivery coordination.

You will lead the Sales Order Processing team, ensuring orders are accurate, approved, and on time while driving SOPs and cross-department collaboration. The role requires coordinating with Sales, Warehouse, Logistics, and Accounting to optimize order fulfillment and inventory usage, and to resolve pricing and documentation

Responsibilities

• Oversee the end-to-end sales order processing process, from receipt of customer orders through invoicing and coordination for delivery.
• Ensure all sales orders are accurate, complete, properly approved, and processed on time.
• Supervise and guide the Sales Order Processing team, including workload distribution, performance monitoring, and training.
• Review customer orders for correct product details, quantities, pricing, discounts, payment terms, and delivery instructions.
• Coordinate closely with Sales, Warehouse, Logistics, Accounting, and Purchasing to ensure smooth order fulfillment.
• Monitor inventory availability and coordinate concerns involving out-of-stock, backordered, or allocated items.
• Resolve order-related issues such as incorrect pricing, incomplete documentation, order discrepancies, cancellations, and delivery concerns.
• Ensure sales orders comply with company policies, credit limits, approval procedures, and internal controls.
• Monitor pending, delayed, cancelled, and unfulfilled orders and initiate appropriate follow-up actions.
• Establish and maintain standard operating procedures (SOPs) for sales order processing.
• Monitor team KPIs such as order accuracy, processing turnaround time, pending orders, fulfillment rate, and error rate.
• Prepare regular reports on sales orders, order status, processing performance, backorders, cancellations, and operational issues.
• Coordinate with Accounting regarding billing, credit approval, payment terms, and customer account concerns.
• Maintain accurate and organized sales order records and supporting documentation for audit and reconciliation purposes.
• Identify opportunities to streamline and automate sales order processes to improve accuracy and efficiency.
• Handle escalated customer or internal concerns involving order processing and fulfillment.
• Conduct regular reviews of the team's performance and provide coaching and corrective guidance when necessary.
• Ensure proper communication between departments to prevent delays, duplicate orders, incorrect deliveries, and billing errors.
• Support management in developing policies and controls related to order management and customer service levels.
• Perform other related duties assigned by management.
