Job Summary
We are looking for a Sales Coordinator Assistant who will provide administrative and operational support to the Logistics and Sales Team. The successful candidate will assist in coordinating sales activities, preparing documents, monitoring orders and client requests, maintaining accurate records, and ensuring smooth communication between the Sales Team, clients, and other departments.
Key Responsibilities
- Provide administrative and clerical support to the Logistics and Sales Team.
- Assist in preparing quotations, proposals, sales orders, invoices, reports, and other sales-related documents.
- Coordinate with sales regarding inquiries, orders, schedules, and other sales-related concerns.
- Maintain and update customer records, sales files, databases, and other documentation.
- Monitor sales orders and coordinate with relevant departments to ensure timely processing and delivery.
- Track sales activities, client follow-ups, and pending requirements.
- Coordinate with Accounting, Operations, Warehouse, Purchasing, and other departments when necessary.
- Prepare presentation materials and other documents needed by the Sales Team.
- Respond to emails, calls, and messages related to sales coordination and administrative concerns.
- Ensure that all sales documents are properly filed and organized.
- Follow up on outstanding documents, payments, purchase orders, and other requirements as assigned.
- Assist in maintaining good customer relationships by providing timely and professional assistance.
- Perform other sales and administrative duties as assigned by the Sales and immediate supervisor.
Qualifications and Requirements
- College graduate in Business Administration, Marketing, Management, Office Administration, or a related field is preferred.
- Previous experience in sales administration, sales coordination, customer service, or office administration is an advantage.
- Fresh graduates are welcome to apply.
- Proficient in Microsoft Office, particularly Excel, Word, and PowerPoint.
- Knowledge of Google Workspace is an advantage.
- Good written and verbal communication skills.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Able to prioritize tasks and meet deadlines.
- Able to communicate professionally with clients and internal departments.
