Position Title: Sales Administrator
Overall Objectives
Provide comprehensive administrative and coordination support to the Business Unit Home Appliances by assisting the Key Account Manager in day-to-day sales administration activities and providing executive administrative support to the Business Unit Head
Key Responsibilities
1. Sales Administration Support
- Provide day-to-day administrative support to the Key Account Manager in managing sales-related activities and requirements.
- Prepare, consolidate, organize, and maintain sales documents, reports, presentations, and other business records.
- Assist in monitoring sales orders, customer requirements, deliveries, and other sales-related transactions.
- Coordinate with relevant internal departments to follow up on customer and sales requirements.
- Maintain accurate and updated records of sales activities, customer information, documents, and account-related files.
- Assist in preparing materials and reports required for sales meetings, business reviews, and customer presentations.
- Monitor pending sales-related requests and ensure timely follow-up with concerned stakeholders.
2. Business Unit Reporting & Coordination
- Assist in the preparation and consolidation of regular sales and business performance reports.
- Gather and organize sales data and information required by the Business Unit Head and Key Account Manager.
- Support the preparation of presentations, dashboards, meeting materials, and business review reports.
- Monitor action items and follow up with concerned stakeholders to ensure timely completion.
- Maintain organized and accessible files and documentation for the Business Unit.
3. Executive Administrative Support – Business Unit Head
- Provide administrative and executive assistance to the Business Unit Home Appliances Head.
- Manage and coordinate schedules, meetings, appointments, and other calendar requirements.
- Prepare meeting agendas, presentations, minutes, and other materials as required.
- Coordinate internal and external meetings on behalf of the Business Unit Head.
- Monitor and follow up on action items, commitments, and requests arising from meetings.
- Assist in the preparation and organization of confidential business documents and communications.
- Handle routine correspondence and administrative requests on behalf of the Business Unit Head, as authorized.
- Support travel arrangements, meeting logistics, and other administrative requirements when necessary.
4. Customer & Key Account Coordination
- Assist the Key Account Manager in coordinating administrative requirements of assigned key accounts.
- Support the preparation and submission of customer-related documents and requirements.
- Coordinate with internal teams regarding customer inquiries, orders, deliveries, and other account requirements.
- Ensure that customer-related requests are properly documented, endorsed, and followed through.
- Maintain organized customer and key account records.
5. Sales Operations & Cross-Functional Coordination
- Coordinate with Finance, Supply Chain, Planning, Logistics, Warehouse, and other relevant departments to facilitate sales-related transactions.
- Assist in monitoring order status, delivery schedules, inventory availability, and other operational requirements that affect customer fulfillment.
- Support the resolution and follow-up of sales administration concerns by coordinating with the appropriate departments.
- Ensure timely communication of updates, changes, and requirements to relevant stakeholders.
6. Data & Document Management
- Maintain accurate and organized physical and electronic records of sales and business unit documents.
- Ensure timely updating of trackers, databases, reports, and monitoring tools.
- Consolidate information from different sources and ensure data accuracy before submission.
- Maintain confidentiality of business, customer, sales, and management information.
- Support the improvement and standardization of administrative and reporting processes.
7. Meeting & Event Support
- Coordinate logistics and administrative requirements for sales meetings, business reviews, customer meetings, and other Business Unit activities.
- Prepare presentation materials, attendance records, minutes, and other meeting documentation.
- Monitor and follow up on agreed action items and deliverables.
- Assist in organizing Business Unit events, workshops, and other activities as required.
8. Other Administrative Responsibilities
- Perform other administrative and coordination tasks that may be assigned by the Business Unit Head or Key Account Manager.
- Provide back-up administrative support to the Sales team when required.
- Identify opportunities to streamline administrative processes and improve efficiency.
- Ensure timely completion of assigned tasks and deliverables.
Experience:
At least 2–4 years of experience in sales administration, sales support, business administration, executive assistance, or a related role.
Experience supporting Sales teams, Key Account Managers, or senior management.
Experience in preparing reports, presentations, documentation, and business correspondence.
Experience coordinating with multiple internal stakeholders and external customers.
Education:
Bachelor's degree in Business Administration, Management, Marketing, Office Administration, or a related field.
