Qualifications

• Experience in recruitment coordinator, resourcing, or administrative/VA role in recruitment or professional services.
• Excellent written and verbal English skills.
• High attention to detail, especially with scheduling/time zones.
• Proactive self-starter who can manage to outcomes and flag issues early.
• Comfortable with structured reporting and helping build processes.

Responsibilities

• Schedule and manage candidate and client interviews across multiple hiring managers with high accuracy on times and time zones.
• Use judgement on sequencing when to adjust interview timings.
• Keep candidate records, notes, availability and status accurate in the CRM.
• Track notice periods, preferences and history to hand off smoothly to consultants.
• Build longlists for live roles and identify referral contacts.
• Support personalized candidate outreach messaging and manage responses.
• Reactivate dormant candidates and grow the talent pool between live roles.
• Draft and post job ads on Seek and LinkedIn, tracking posting performance.
• Send a structured end-of-day update covering progress and blockers.
