Job summary

Extenteam Inc. is seeking a project coordinator to manage described projects and initiatives through successful completion.

You will communicate project needs to Asset Quality and Service teams and coordinate with 3rd‑party vendors to improve results. This 100% remote role involves coordinating with procurement, transactions, Asset Quality and Service, operations, and on-site team members, using Asana, Coupa, SharePoint, and Power Apps.

Qualifications

• Bachelor's degree in business or equivalent.
• 3–5 years experience.
• Multi-family residence and/or working with elevator or fire life safety companies would be a major plus.

Responsibilities

• Coordinate and manage described projects and initiatives through successful completion of the desired results.
• Communicate all project needs to asset quality and service team and ensure deliverable goals are met.
• Liaise with 3rd‑party vendors regularly to achieve improved business results.
• Assist senior level managers on larger projects affecting critical systems (HVAC, Fire Life Safety, Elevators, Access Control, Cameras, Generators).
• Coordinate elevator inspections and ensure scheduling, violations cured, and progress tracked using Asana and Coupa.
• Coordinate fire life safety inspections, ensure invoicing and progress toward compliance using SharePoint, Coupa, and Power Apps.
• Host kickoff calls with vendors to review required information and document details as needed.
• Engage with Procurement, Transactions, Asset Quality and Service, Operations, On-Site Team members for information alignment.
• Assist with account setup and integration for access control projects.
• Assist with expense budgeting for contract preventative maintenance by talking to vendors and working with Procurement to finalize contracts.
