Job summary

TVP is seeking a Production Project Coordinator to ensure orders move from client approval to shipment smoothly. You will manage multiple vendors, verify specs and pricing, and maintain a complete paper trail. The role requires proactive communication, strong organization, and the ability to drive orders forward independently.

You will work in a high-volume environment, using AI tools to summarize status, draft follow-ups, and flag risks early. Remote work with international vendors is common.

Qualifications

• 2+ years of hands-on experience in order management, production coordination, purchasing, or a similar role.
• Excellent organization, ability to manage dozens of open orders and multiple vendors.
• Strong attention to detail, including spotting quantity or pricing mismatches.
• ownership mindset: thorough follow-up, escalation when needed, and proactive communication.
• Comfort using AI tools to manage large order volumes and drafts for follow-ups.

Responsibilities

• Process new orders in the proprietary system as client approvals come in.
• Submit orders to manufacturers, confirm specs, quantities, pricing, and ship dates.
• Track daily status of all open jobs and flag delays or risks early.
• Create and send a daily status report by order status.
• Maintain complete document trails: POs, invoices, shipping updates, and tracking.
• Coordinate with Finance to ensure vendor payments on time.
• Be the day-to-day contact for vendors and manage follow-ups.
• Leverage AI tools for status summarization and error-catching.
• Identify recurring problems and suggest process fixes.
