The candidate must manage scheduling via MacPractice, coordinate with in-office staff, and maintain accurate records. A weekends-ready schedule and Mac OS device are required for success.

Qualifications

• Excellent spoken English with a clear, easy-to-understand, neutral accent.
• Strong written communication skills for SMS, email, and patient-facing messages.
• Prior experience in a healthcare support role such as VMA or medical receptionist.
• Able to manage high call volume in a fast-paced clinic.
• Patient service mindset with empathy and sound judgment.
• Able to multitask across calls, texts, emails, voicemails, faxes, and scheduling.
• Reliable, punctual attendance and proactive communication.
• Must own a Mac OS device and have reliable wired internet.
• Flexible with schedule and willing to work Saturdays.

Responsibilities

• Answer high-volume inbound patient calls professionally and promptly.
• Respond to texts, voicemails, emails, and fax-related messages timely and accurately.
• Schedule new patient appointments and manage intake information; use MacPractice.
• Prioritize new inquiries and referrals for scheduling efficiency.
• Conduct follow-up and reactivation outreach to convert inquiries into appointments.
• Maintain accurate patient records and documentation of communications.
• Coordinate with in-office staff to keep the provider schedule full.
• De-escalate patient concerns related to scheduling, billing, or insurance.
• Listen, gather details, offer callbacks, and avoid overwhelming patients.
• Support missed-call workflows and HIPAA privacy adherence.
