Job summary

Outsourced is seeking a professional and customer-focused Intake/Sales Specialist to serve as the first point of contact for potential new clients in a remote role. You will handle inbound inquiries, qualify leads, schedule consultations, and maintain accurate CRM records while delivering a compassionate client experience.

Qualifications

• At least 3 years of client-facing intake, sales, or customer success experience.
• Experience handling entire sales cycle.
• Strong English communications and professional phone presence.

Responsibilities

• Respond promptly to inbound inquiries and answer calls from potential new clients (PNCs) using approved intake scripts and protocols.
• Conduct initial client intake by gathering relevant information, assessing needs, and determining qualification based on established criteria.
• Perform conflict-check procedures and identify disqualifying factors in accordance with firm policies.
• Schedule qualified prospects into the appropriate consultation type, ensuring appointment details, including time zones, are accurate.
• Maintain complete and accurate client records in the CRM, including lead source, matter type, notes, status updates, follow-up tasks, and next steps.
• Manage leads throughout the intake pipeline, ensuring records remain current and properly routed.
• Execute pre-engagement follow-up activities, including appointment confirmations, reminders, and proactive outreach to improve attendance rates.
• Follow up with no-show appointments and non-converted leads using established workflows and nurture campaigns.
• Communicate the firm's services with professionalism, empathy, and confidence while delivering an exceptional client experience.
• Collaborate with attorneys and internal team members while strictly adhering to firm procedures and compliance requirements.
• Refrain from providing legal advice and operate within attorney-supervised processes at all times.
