RemotePro.ph is seeking an Executive Support Specialist to manage renewals, quotes, and account servicing for California personal and commercial lines in a fully remote setup.

You will handle communications via email and phone, keep deadlines, and leverage AI tools daily to improve output and speed. This role suits a proactive, organized professional who thrives in a fast-moving MSP environment.

Qualifications

• At least 1 year of hands-on experience inside a California insurance agency handling renewals, quotes and servicing.
• Excellent conversational English; clients feel heard.
• Proven experience in support/virtual assistant/administrative roles.
• Active, daily use of AI tools (Claude, ChatGPT or equivalent).
• Proficiency in Microsoft Office Suite and Google Workspace.
• Experience with CRM tools (HubSpot, Zoho, Salesforce or equivalent).
• Strong written English and professional emails.
• High attention to detail; errors caught before sending.
• Strong organizational skills; multi-tasking without slips.
• Self-directed, asks the right questions early and works independently.

Responsibilities

• Handle renewals, quotes, and account servicing for personal and commercial insurance lines in a fast-moving remote environment.
• Manage inbound communications across email and phone, triage and escalate as needed.
• Track open actions, follow-ups, and deadlines; flag at-risk items early.
• Coordinate calendars, scheduling, and meeting logistics.
• Prepare reports, summaries and briefing materials ready for use without editing.
• Maintain organized CRM records and shared drives for easy access.
• Use AI tools to draft communications, summarize threads, eliminate repetitive tasks.
• Support market research, competitor analysis and social media scheduling as needed.
